Role:
The Assistant to EST plays a critical role in supporting the Executive Support Team by managing a wide range of administrative and operational tasks to ensure smooth and efficient office functioning. This position requires proactive coordination and communication with internal teams and external stakeholders to facilitate timely decision-making and project execution. The Assistant will be responsible for organizing schedules, preparing reports, and handling confidential information with the utmost discretion. By anticipating the needs of the EST, this role contributes significantly to optimizing workflow and enhancing overall productivity. Ultimately, the Assistant to EST serves as a vital liaison, enabling the leadership team to focus on strategic priorities while maintaining seamless day-to-day operations.
Minimum Qualifications:
High school diploma or equivalent; Associate's or Bachelor's degree preferred. Minimum of 2 years of experience in an administrative or executive assistant role. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Strong organizational and time management skills with the ability to multitask effectively. Excellent written and verbal communication skills.
Preferred Qualifications:
Experience supporting senior executives or leadership team Ability to handle sensitive and confidential information with discretion. Knowledge of industry-specific terminology and practices related to the EST's field. Advanced proficiency in data analysis and report generation.
Responsibilities:
Manage and coordinate the EST's calendar, including scheduling meetings, appointments, and travel arrangements. Prepare, review, and distribute correspondence, reports, and presentations to support executive decision-making. Serve as the primary point of contact between the EST and internal departments, clients, and external partners. Organize and maintain confidential files and records, ensuring data accuracy and security. Assist in planning and executing special projects and events as directed by the EST. Monitor and follow up on action items and deadlines to ensure timely completion. Handle incoming communications, prioritize requests, and respond or redirect as appropriate.

The Assistant to EST utilizes strong organizational skills daily to manage complex schedules and coordinate multiple priorities efficiently. Effective communication skills are essential for liaising with diverse stakeholders and preparing clear, professional documentation. Proficiency in technology, including Microsoft Office and project management software, enables the Assistant to streamline workflows and support data-driven decision-making. Attention to detail ensures accuracy in handling confidential information and preparing reports. Additionally, problem-solving abilities help the Assistant anticipate challenges and proactively implement solutions to support the EST's objectives.
