Job Description

Job Title:
Bookkeeper Job Description The Bookkeeper manages high-volume cash deposits, performs detailed account and credit card reconciliations, and supports month-end close activities in a small, growing team. This role also assists with annual external audits and bank deposit processes, including a transition from manual to more automated methods. The position offers the opportunity to wear multiple hats and contribute to improving processes in a dynamic, evolving environment. Responsibilities Handle daily cash deposits and cash handling activities, ensuring accuracy and proper documentation for a high volume of incoming funds. Prepare and process bank deposits, initially using manual methods and later incorporating a scanner as deposit processes become more automated. Perform account reconciliations using systems such as Donor Perfect and Clinic HQ to ensure financial records are accurate and up to date. Complete credit card reconciliations on a regular basis, verifying transactions and resolving discrepancies in a timely manner. Execute month-end reconciliations, including bank and account reconciliations, to support accurate financial reporting. Support the annual external audit by gathering and organizing financial documents and records for the external auditor, especially during the May-September audit period. Collaborate closely with another bookkeeper as part of a two-person bookkeeping team to ensure consistent and accurate financial processes. Adapt to changing processes and procedures, contributing ideas and feedback to improve efficiency and accuracy in bookkeeping activities. Work effectively with individuals who have different communication styles and personalities, maintaining a professional and cooperative approach. Essential Skills Proven experience in bookkeeping with a focus on cash deposits and cash handling for high volumes of incoming funds. Strong proficiency in account reconciliation, including bank, general ledger, and sub-ledger reconciliations. Hands-on experience with credit card reconciliations, including investigation and resolution of discrepancies. Experience performing month-end reconciliations to support accurate and timely financial close. Ability to support external audits by gathering and organizing documentation for auditors. Familiarity with bookkeeping in nonprofit or grant-related environments. Experience with bank reconciliation processes, including manual and automated deposit methods. Proficiency with QuickBooks for bookkeeping and reconciliation tasks. Ability to work effectively as part of a small bookkeeping team. Flexibility to adapt to changing processes and evolving systems. Additional Skills & Qualifications Experience working with donor or fundraising systems such as Donor Perfect. Experience with clinic or healthcare-related financial systems such as Clinic HQ. Background in nonprofit accounting or grant-related financial tracking. Comfort wearing multiple hats in a small, growing team environment. Strong interpersonal skills to collaborate with colleagues who have direct communication styles. Openness to process changes and continuous improvement in financial workflows. Interest in a contract-to-hire or direct placement arrangement, depending on preference. Work Environment This is an in-office role, working Monday through Friday, with standard hours of either 8:00 a.m. to 5:00 p.m. or 7:30 a.m. to 4:00 p.m. You will work on a small, close-knit team alongside one other bookkeeper in a setting where communication is direct and expectations are clear. The environment is dynamic, with many processes evolving, particularly around bank deposits as the team transitions from manual methods to using a scanner for automation. Job Type & Location This is a Contract to Hire position based out of Ojai, CA. Pay and Benefits The pay range for this position is $32.00 - $37.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
