This vital role combines essential bookkeeping responsibilities with administrative support to ensure smooth daily operations. The ideal candidate will be proactive, highly organized, and possess excellent communication skills. You will manage financial records, handle front desk duties, and provide exceptional customer service, all while maintaining a positive and energetic work environment. This paid position offers an exciting opportunity to grow your office management skills while supporting a collaborative team. Responsibilities Manage accounts payable and receivable using QuickBooks or similar accounting software, ensuring accurate data entry and timely processing of transactions Handle front desk duties including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette Maintain organized filing systems for financial documents, client records, and administrative files Support office management tasks such as calendar management, scheduling appointments, and coordinating meetings Provide excellent customer support by responding promptly to inquiries via phone, email, or in person Assist with data entry, proofreading documents, and maintaining office supplies inventory Perform general clerical duties Requirements Proven experience in office administration or clerical roles with strong organizational skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools Familiarity with QuickBooks or other bookkeeping software; bookkeeping experience is highly preferred Excellent computer literacy and typing skills for efficient data entry and document management Bilingual abilities are a plus to effectively communicate with diverse clients and team members Strong customer service skills with professional phone etiquette and a friendly demeanor Prior experience as a dental or medical receptionist or personal assistant is advantageous but not required Ability to multitask efficiently while managing time effectively in a fast-paced environment Adjustable hours.
