Job Description

We are looking for a competent
RELIABLE
part-time entry level office assistant to report to the office manager and help with the organization . Must be able to effectively take direction from the office manager in running of the daily administrative operations of the company. The ideal candidate will have basic computer skills, be a fast learner, able to follow instructions and a hard-working individual. This individual must be easy to train , understand the expectations of the task assigned and take minimal training time from the office manager . They must be able to provide data entry support for Micro soft office, excel based financial tracking systems, produce reports as needed from QuickBooks, undertake a variety of office support tasks and work diligently under the supervision of the office manager. This person will be comfortable working with QuickBooks-desk top and other computer programs in a fast pace service industry environment. Must have a positive attitude with a high degree of attention to detail and discretion as well as incorporating new and effective ways to reduce the workload on the office manager. Responsibilities- TAKE
DIRECTION AND ASSIST THE OFFICE MANAGER WITH THE FOLLOWING
DATA
ENTRY FOR
daily, weekly and monthly,management team reports in
EXCEL, QUICKBOOKS AND OTHER COMPUTER BASED PROGRAMS.
Invoice processing scheduling Sort and distribute communications in a timely manner Create and update records ensuring accuracy and validity of information Schedule and plan meetings and appointments Monitor level of supplies and handle shortages Resolve office-related malfunctions and respond to requests or issues Coordinate with customers, coworkers and to ensure compliance with established policies Maintain trusting relationships with suppliers, customers and colleagues Perform receptionist duties when needed Skills Previous experience preferred as a back-office assistant, office assistant, or in another relevant business office role in construction ,plumbing or other related service field. Knowledge of "back-office" computer systems (word, QuickBooks,excel,) Working knowledge of Micro soft office QuickBooks desk top version,EXCEL and word Understanding of office management procedures Excellent organizational and time management skills Analytical abilities and aptitude in data ,entry bank account reconciliations and basic accounting Excellent written and verbal communication skills Proficiency in
