Reporting to the Assistant Dean for Student Wellness, the Administrative Analyst is required to manage the day-to-day business operations for the Offices of Testing and Disability Services. This includes reception, customer service, electronic communications, and procurement functions.Essential Duties and Responsibilities:
Receptionist:
Answer phones and give information to callers, take messages, or transfer calls to appropriate individuals. Greet visitors and handle their inquiries or direct them to the appropriate person according to their needs. Maintain scheduling and event calendars; schedule and confirm appointments for students, staff, and faculty as needed. Monitor Disability Services departmental e-mail inbox; route incoming mail and e-mail correspondence to appropriate staff members.Office Manager:
Set up and manage paper or electronic filing systems, recording information and organizing documents such as student files, correspondence as needed. Operate office equipment, such as computers, copiers, and phones, and arrange for repairs as needed. Maintain office supply inventory.Budget Liaison:
Prepare purchase requisitions. Initiate and track P-card transactions; prepare monthly P-card transaction log. Maintain the budget records for the Offices of Testing and Disability Services.Communication Coordinator:
Writing:
communicate effectively in writing as appropriate for the needs of the audience. For example, prepare routine office correspondence, e-mails, flyers, etc. using correct grammar, punctuation, spelling, and applying significant attention to detail.Speaking:
address callers, walk-in visitors, students, staff, and faculty in an enthusiastic and courteous mannerAssistant:
Assist with updates to departmental websites. Assist Testing staff with proctoring exams as needed. Assist DS staff with maintaining equipment inventory, check-out, & training.Knowledge, Skills, and Abilities:
Knowledge of department operations, policies, and procedures. Knowledge of applicable laws and regulations. Proficiency with computers and software applications. Project management and organizational skills, including prioritization and multitasking. Strong communication, interpersonal, and teamwork abilities. Financial analysis and reporting skills. Capable of planning, organizing, and directing work and systems efficiently. Adept at developing, interpreting, and applying policies and procedures.Minimum Requirements:
Experience working in an office environment. The formal education equivalent of a high school diploma. Plus two years of experience in direct customer service or public-facing work. OR the formal education equivalent of a bachelor's degree in behavioral sciences, general business, or a related field.Preferred Qualifications:
Experience in communicating work flow information in real time. Management of office operations, including scheduling and oversight of others' work assignments. Management of budgets, inventory, and projects with strategic delegation. Demonstrated flexibility and adaptability to changing work demands. Experienced with assistive technology, Self-Service Banner, and proctoring exams. Background in working with people with disabilities.Work Location, Environment, and Physical Demands:
This is an in-person position on the ATU - Russellville campus working from 8-5 Monday through Friday, with some occasional evening or weekend work required to effectively administer programs or services.
