Position Summary SOI Aviation is seeking a detail-oriented and proactive Purchasing Specialist to support our procurement and order fulfillment operations. This role plays a critical part in ensuring accurate purchasing, supplier coordination, and timely delivery of aviation components. This is a hands-on, fast-paced position ideal for someone who enjoys problem-solving, research, and working cross-functionally. We are willing to train the right candidate with a strong work ethic and attention to detail. Key Responsibilities Order Processing & System Management Open and manage sales orders in Pentagon upon receipt of customer orders Review and validate quotes against purchase orders (pricing, part numbers, quantities, delivery timelines) Generate and process purchase orders for items including NHA, tools, repairs, assemblies, and testing Ensure accurate data entry and classification of order types within internal systems Supplier Coordination & Procurement Support Communicate with suppliers to confirm availability, pricing, and delivery timelines Negotiate pricing and payment terms (e.g., Net 30, deposits, prepayment) Build and maintain relationships with trusted suppliers Continuously follow up on orders and expedite deliveries as needed Research & Sourcing Conduct sourcing research using platforms such as ILS, PartsBase, OEM contacts, and technical documentation Analyze part history, technical specifications, and alternative sourcing options Identify solutions for hard-to-find or delayed parts, including repair or replacement options Order Tracking & Issue Resolution Monitor order status and proactively communicate delays or issues to internal teams and customers Request delivery extensions when necessary Troubleshoot discrepancies including incorrect parts, missing documentation, or damaged goods Process returns, replacements (RMA), or refunds with suppliers Cross-Functional Coordination Work closely with warehouse to ensure accurate receipt and condition of parts Coordinate shipping details and customer freight requirements Support export documentation and licensing processes when required What Makes This Role Unique Purchasing owns the process end-to-end —from order intake through final resolution of discrepancies, even after delivery This role requires persistence, problem-solving, and continuous follow-through not just transactional purchasing Every order can present a new challenge (and yes… sometimes detective work is required) Qualifications 2+ years of purchasing, procurement, supply chain, or administrative experience preferred Experience in aviation, manufacturing, or technical environments is a plus (not required) Strong attention to detail and ability to manage multiple priorities Excellent communication and follow-up skills Comfortable working with systems (ERP/CRM experience preferred; Pentagon is a plus) Strong research and problem-solving mindset We're Willing to Train Don't check every box? $24.00 - $32.00 per hour
