Job Description

Position Summary:
The Outside Processing Coordinators responsible for purchasing and expediting outside special processing (including plating, coating, and heat treating) and managing supplier communication to ensure timely turnaround of flight-critical aerospace components. One will work to track open orders in the ERP system, obtains and confirms supplier commitments for all outside processes, and proactively drives parts back in-house to support production flow and ensure Phoenix Manufacturing, Inc. meets promised customer delivery dates, quality requirements, and internal priorities. Essential Functions:
Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. The essential functions of this position include, but are not limited to the following: Manages production planning of special processes, logistics, and GlobalShop activities for Outside Special Processing (OSP). Expedite outside-process orders daily by coordinating with Suppliers on status, lead times, and ship/receive dates, escalating risks to schedule as needed. Communicate with vendors to verify, document, and update Supplier commitments for each outside process step (including promised completion dates and shipping details). Coordinate return logistics and prioritize receipt of processed parts back in-house to maintain production flow and protect customer delivery dates. Maintain accurate OSP status in the ERP system (Global Shop), including notes, due dates, receipts, and priority changes to align internal departments on schedule. Coordinates activities to ensure promised customer delivery dates conform with production, quality standards and procedures. Release purchase orders to the Suppliers for required work. Send Requests for Quotations (RFQs) to the OSP Suppliers. Manage internal and external logistics, including trucking. Working with Phoenix's Quality department, resolve Quality issues discovered when materials are received. Create shipping labels, paperwork, and documentation from ERP system, customer portals, and shipping company websites. Collaborate with other departments on production control and purchasing requirements while developing formal partnerships with Manufacturing, Engineering, and Quality. Ensures that business processes comply with standards and procedures as defined by the Company, Customers, and Regulatory Bodies. Regular verbal or written communication to internal and external stakeholders, customers, or vendors utilizing both electronic and analog systems. Participate in the operation of and compliance with all safety, hazardous material handling, and disposal requirements in accordance with government regulations and company procedures. Utilization of office machines including copiers, scanners, phone systems, computers (including email), and other standard equipment. Retrieve reports, as needed, through ERP System (Global Shop) in order to perform prioritization of daily activities. Assist in the preparation and control of records, quotes, statistics, and reports regarding purchasing activities. Perform all tasks within Quality Management System (QMS) specifications and requirements. Use Personal Protective Equipment (PPE) (i.e., shoes, eyewear, gloves, masks, shields, and coats) if needed. Comply with all company and safety rules and regulations. Other duties as assigned.
Experience, Education and Qualifications:
High School Diploma or Equivalent Education. Associate's Degreed preferred. Minimum of five (5) or more years of material purchasing and planning experience in an aerospace manufacturing environment. Must have experience with ERP systems-Issuing POs/Receiving in ERP system. Proficient with Microsoft Office Suite (PowerPoint, Outlook, Excel, Word) or related software. Excellent verbal and written communication skills. Excellent organizational skills and attention to detail with a sense of urgency. Understanding and ability to work within the ERP system (Global Shop). Adept at prioritizing multiple tasks/projects. OSP purchasing experience preferred.
