Essential Job Functions:
Develop, lead, and execute strategic purchasing initiatives to secure high-quality products, equipment, and services at competitive costs. Source, qualify, and manage domestic and international suppliers; maintain strong vendor relationships, accurate records, and supplier performance standards. Negotiate pricing, payment terms, lead times, contracts, service agreements, and special project pricing to maximize value and profitability. Evaluate existing and prospective suppliers, recommend alternatives when appropriate, and implement corrective actions to address performance issues. Manage the full purchasing lifecycle, including purchase requests, purchase orders, order acknowledgments, vendor communications, and final delivery. Create, review, and maintain purchase orders in SAP, ensuring accuracy of pricing, quantities, product specifications, and sales order allocations. Coordinate international purchasing activities, including import logistics, customs clearance, freight forwarding, drop shipments, and carrier management. Ensure compliance with import/export regulations, customs requirements, trade documentation, licenses, and other applicable laws and policies. Review commercial invoices, packing lists, bills of lading, and related shipping documents. Monitor duties, tariffs, freight expenses, landed costs, and market conditions to support accurate costing. Collaborate with warehouse, operations, finance, sales, and customer service teams to ensure timely order fulfillment, and ensure timely process completion. Track purchase orders, backorders, and delivery schedules; proactively resolve supply chain disruptions, shipping discrepancies, billing errors, returns, and vendor claims. Analyze and perform inventory reports; to maintain optimal stock levels and support project specific needs. Drive continuous improvement through process standardization, automation, and best practices in purchasing, inventory control, and logistics operations. Obtain required approvals for prepaid purchases, support annual physical inventory counts, and perform other purchasing and inventory-related duties as assigned.
Education and Experience:
Associate's Degree in Business Administration or another related field 2+ years of experience in the industry, preferably in the Security or IT industry Fully accredited to work in the USA. Have great negotiation and persuasion skills. High level of professionalism and confidentiality. Strong computer skills in use of Microsoft Word, Excel, Outlook and SAP The omission of specific declarations of duties does not exclude them from the classification if the work is similar, related or a logical assignment for this classification. Spanish and English Key Competencies:
Advanced knowledge of SAP and Microsoft Excel. Strong understanding of purchasing, inventory management, supply chain planning, and international logistics process. Expertise in supplier relationship management, strategic sourcing, and vendor performance evaluation. Proven negotiation skills with the ability to secure favorable pricing, terms, and contractual agreements. Knowledge of import/export procedures, customs compliance, logistics coordination, and landed cost analysis. Strong analytical and problem-solving abilities with the capacity to develop, lead and execute purchasing strategies. Experience tracking KPIs, managing budgets and costs, and implementing process improvements to enhance operational effectiveness. Ability to assess, manage, and mitigate purchasing and supply chain risks. Excellent organizational, communication, networking, and cross-functional collaboration skills. Ability to interpret and apply company policies, procedures, regulations, and business requirements accurately and consistently.
