Job Description

Position Summary We are currently seeking a highly organized and detail-oriented Procurement Specialist to manage the purchasing and replenishment of products, supplies, and materials necessary to support our wholesale produce distribution operations. The Procurement Specialist will be responsible for sourcing quality products, negotiating costs, maintaining inventory levels, building vendor relationships, and ensuring product availability while controlling costs and minimizing waste. This position plays a critical role in maintaining inventory accuracy, supporting sales growth, and ensuring our customers receive the highest quality produce and related products. Essential Duties and ResponsibilitiesPurchasing & Procurement Procure fresh produce, packaging materials, warehouse supplies, and operational necessities based on company demand. Monitor inventory levels and sales trends to maintain appropriate stock levels. Place purchase orders and coordinate deliveries with vendors and suppliers. Source new suppliers and products to improve quality, pricing, and availability. Negotiate pricing, terms, and freight costs to maximize profitability. Maintain accurate purchasing records and vendor documentation. Vendor Management Develop and maintain strong relationships with growers, suppliers, and distributors. Evaluate vendor performance based on quality, pricing, service, and delivery reliability. Resolve product shortages, quality concerns, and delivery issues in a timely manner. Communicate regularly with vendors regarding market conditions, pricing fluctuations, and product availability. Inventory Control & Quality Assurance Work closely with warehouse management to ensure inventory levels align with purchasing plans. Monitor product movement and identify slow-moving or excess inventory. Assist in managing inventory rotation to minimize spoilage and shrink. Verify purchased products meet company quality standards before acceptance. Support traceability and food safety requirements by maintaining proper documentation. Data Analysis & Reporting Analyze purchasing trends, market conditions, and pricing fluctuations. Generate reports related to purchasing activity, inventory levels, and vendor performance. Identify opportunities for cost savings and process improvements. Assist management with forecasting seasonal demand and purchasing requirements. Collaboration Coordinate with Sales, Warehouse Operations, Transportation, and Management teams to ensure product availability. Communicate anticipated shortages, substitutions, and market changes to appropriate departments. Support company initiatives related to operational efficiency and customer satisfaction. Qualifications Required High school diploma or equivalent. Minimum 2 years of purchasing, procurement, inventory management, or produce industry experience. Strong organizational and time-management skills. Excellent negotiation and communication abilities. Proficiency in Microsoft Office, particularly Excel. Ability to analyze data and make informed purchasing decisions. Strong attention to detail and accuracy. Preferred Experience in wholesale produce distribution. Knowledge of produce commodities, seasonality, and market pricing. Familiarity with inventory management and ERP systems. Understanding of food safety and traceability requirements. Physical Requirements Ability to work in both office and warehouse environments. Occasionally lift up to 30 pounds. Ability to sit, stand, walk, and use a computer for extended periods. Ability to occasionally work in refrigerated warehouse conditions. Performance Expectations Maintain adequate inventory levels while minimizing excess inventory and shrink. Ensure timely placement and accuracy of purchase orders. Develop and maintain positive supplier relationships. Achieve cost-saving opportunities through strategic purchasing and negotiation. Maintain accurate purchasing, receiving, and vendor records. Support company goals for quality, service, food safety, and profitability. Demonstrate professionalism, reliability, and strong communication across all departments. Schedule Full-Time Monday through Friday, with occasional weekend availability based on seasonal business demands and market conditions. Compensation Competitive salary based on experience. Benefits package available based on company policy.

$17.00 - $20.00 per hour
