Job Description

Position Summary The Procurement Coordinator plays a crucial role in enhancing the overall organizational support to the procurement team. They ensure that processes run smoothly by maintaining accurate records, managing data, handling customer inquiries, and providing essential support in the areas of pricing, client communication, and payment processing. This role requires strong organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously. The Procurement Coordinator is pivotal in ensuring that both internal teams and customers have the information and support they need to facilitate successful transactions and ongoing business relationships. The role also requires strong operational expertise in managing the end-to-end procurement lifecycle within ERP systems, ensuring accuracy, efficiency, and alignment across procurement, logistics, and finance functions.
Key Responsibilities Full Lifecycle Account Coordination:
Serve as the primary coordinator for a portfolio of procurement partners (schools, businesses, and resellers), with responsibility for account growth and retention. Implement account coordination strategies aligned with business goals to manage customer lifecycle of buyback programs. Build out partner open deal tracker, utilize ERP systems (e.g., Odoo, NetSuite,Oracle, or similar) to manage procurement workflows, maintain accurate data, and ensure real-time visibility into order status and financials. Identify and resolve discrepancies across the procurement lifecycle, including pricing issues, quantity variances, shipment delays, and invoicing errors. Maintain high data integrity across ERP and CRM platforms to support reporting, forecasting, and operational decision-making. Continuously evaluate and improve processes, identifying opportunities to streamline workflows and enhance efficiency across systems and teams. Procurement Lifecycle & Systems Management Coordinator will manage and oversee procurement order lifecycle including: Purchase Order (PO) entry and validation Vendor communication and order confirmation Shipment scheduling and coordination with logistics partners Order tracking through delivery and receipt Invoice review, reconciliation, and issue resolution Coordination with finance on payment processing Returns management, including RMA (Return Merchandise Authorization) processing and resolution Operational Oversight & Coordination Oversee execution of procurement projects by coordinating logistics, operations, and finance support teams. Exercise discretion in resolving escalated issues, balancing partner needs with company policy and profitability. Ensure compliance with contractual terms, pricing structures, and procurement standards. Maintain accurate pipeline activity in CRM and ERP systems, ensuring leadership has visibility into account performance and operational status. What We're Looking For 3-5 years of experience in account management, procurement, customer success, or business development, preferably in the tech or electronics industry. Demonstrated experience managing the full procurement lifecycle, including PO management, shipment coordination, invoicing, payments, and returns/RMA processes. Strong hands-on experience working with CRM platforms (e.g., HubSpot,Salesforce) alongside ERP systems (Odoo, Oracle, NetSuite or similar). Proven ability to exercise independent judgment in managing accounts, structuring opportunities, and resolving complex operational issues. Strong communication and negotiation skills, with experience influencing executive stakeholders. Highly organized, analytical, and proactive in solving business challenges in a fast-paced environment. Passion for sustainability, technology, or circular economy initiatives is a plus.
