POSITION SUMMARY
We are looking for a Logistics & Purchasing Coordinator to oversee the daily sourcing operations while managing our partnerships for value and growth. This role will report directly to the Supply Chain Manager. In this role, the Logistics & Purchasing Coordinator will take responsibility for all aspects of this role as listed below to help build a resilient supply chain that is capable of navigating a complex global network.
ESSENTIAL DUTIES
Purchasing Support sourcing efforts and help maintain relationships with overseas vendors and manufacturers, primarily in Asia and Mexico Create and manage purchase orders (POs) in the ERP system, ensuring accuracy and proper approvals. Maintain records of goods ordered and received, confirming documentation meets compliance standards. Assist finance with invoice reconciliation and landed cost tracking; flag and help resolve invoice or payment term discrepancies Support the annual bid cycle by gathering supplier quotes and updating pricing sheets Track and monitor production schedules and order fulfillment, escalating delays as needed. Maintain supplier scorecards and assist with reporting on key metrics Help investigate and communicate product quality or delivery issues with the Purchasing Manager or Supply Chain team Maintain supplier contact lists and documentation related to supplier compliance Execute purchasing activities in alignment with approved strategies and guidelines Logistics & Freight Coordination Coordinate ocean freight shipments from origin to final U.S. destination under the direction of the Logistics Manager, working with freight forwarders, customs brokers, and shipping agents. Ensure required import/export documentation (commercial invoices, packing lists, bills of lading, etc.) is accurate and complete. Monitor shipping schedules and notify stakeholders of any delays or reroutes. Track shipments and provide regular status updates to relevant internal teams. Coordinate with warehouse or distribution teams to ensure seamless receipt of goods. Request and compare freight forwarding rates as directed and assist with container bookings and shipment confirmations. Manage documentation and delivery coordination for import containers from suppliers to IMS, 3PL, or customer warehouses. Supply appropriate documentation to forwarders to prevent delivery delays. Administrative & Cross-Functional Support Communicate proactively with sales, operations, and inventory teams to align supply with demand forecasts. Assist in preparing materials for supplier or business review meetings to support continuous improvement efforts Provide administrative and coordination support to planning activities aimed at mitigating supply chain risks and maintaining inventory levels Partner with Product Development and Sales to ensure purchasing timelines align with new product launches. Follow established approval workflows tied to sustainable sourcing and production standards
QUALIFICATIONS & SKILLS
Bachelor's degree in Supply Chain, Business, International Trade, or a related field preferred or relevant experience Up to 3 years of experience in purchasing, logistics, or import coordination, ideally with overseas suppliers Fluency with Mandarin is highly preferred Familiarity with international shipping practices, incoterms, and customs compliance Proficient in Microsoft Office ; familiarity with supply chain/ERP systems (e.g., NetSuite or SAP) a plus Excellent communication and problem-solving skills Highly organized and capable of managing multiple priorities Thrive in a fast pace and fast-growing working environment Research and analytical skills Positive and professional demeanor High attention to detail Ability to work effectively in a team environment
