Position Summary / Objective This role is responsible for overseeing and managing the company's procurement activities to ensure the timely acquisition of high-quality goods and services at competitive prices. This role involves developing and implementing purchasing strategies, negotiating with suppliers, managing vendor relationships, and maintaining accurate records of procurement transactions. The Senior Purchasing Specialist collaborates closely with various departments to forecast demand, control inventory levels, and achieve cost savings while ensuring compliance with company policies and industry regulations. Role Responsibilities The following duties represent the primary responsibilities of the role. This list is not exhaustive. The individual in this position will perform additional tasks as assigned, adhere to all provisions of the Employee Manual, and participate in company initiatives and projects. Procurement & Purchasing Operations Lead the procurement process for inventory, equipment, and services across multiple domestic and international vendors Create, review, and manage purchase orders to ensure accuracy, timeliness, and compliance with company policies Ensure timely delivery of goods and resolve any issues related to delays, quality, or discrepancies Support and improve internal controls related to procurement and inventory management Other related duties as requested, including travel to company locations Vendor Management & Relationship Development Develop and maintain strong vendor relationships, including negotiating pricing, terms, and contracts Assist in onboarding new vendors and evaluating supplier performance Maintain accurate records of vendor performance metrics Inventory Planning & Supply Chain Coordination Monitor inventory levels and coordinate with operations, warehouse, and finance teams to forecast purchasing needs Collaborate cross-functionally to ensure alignment on supply requirements and operational needs Data Analysis & Reporting Analyze purchasing data and trends to identify cost-saving opportunities and improve supply chain efficiency Maintain data integrity across reporting systems Maintain accurate records of purchases, pricing, and related procurement data Finance & Accounting Coordination Collaborate with accounting to ensure proper invoice matching, accruals, and vendor payment accuracy Work Environment This job operates in a professional office environment and is an onsite role, requiring attendance five days per week. This role routinely uses standard office equipment such as laptop computers and smartphones. Physical Demands The person in this role must be able to remain in a stationary position 75% of the time and must move about occasionally inside the office to access file cabinets, office machinery and have routine contact with individuals in the office. The person in this role may need to climb stairs, travel and have the ability to move about both indoor and outdoor venues. This person in this role must be able to lift 15 lbs routinely and 25 lbs occasionally. Position Type / Expected Hours of Work The typical work schedule for this position follows a standard workday, with occasional flexibility for evening and weekend work during high-volume periods. All breaks and lunches will comply with local, state, and federal laws, and overtime, if required, will be compensated in accordance with local, state, and federal laws. Travel This position requires travel, up to 25% of the time. Travel will be mixed, local and outside the local area and overnight. Required 5+ years of progressive purchasing experience. Prior inventory management experience required. Detail oriented with ability to prioritize multiple projects and focus on strategic growth. Ability to manage in a continuously changing environment. Excellent interpersonal, communication and organizational skills. Proven experience in decision making and problem solving skills. Ability to maintain confidentiality at the highest level and perform with minimal supervision. A 4-year degree from an accredited college or university in a business-related major.
