Job Description

Job description We are seeking an experienced Materials & Procurement Coordinator to support a series of high-priority R D prototype and testing projects in Latham, New York. This role will be responsible for managing the full lifecycle of materials coordination for complex engineering builds, from procurement and inventory tracking to kitting and build readiness. The successful candidate will act as the primary point of ownership for all R D materials activities, working closely with engineering teams, procurement specialists, PMO stakeholders, and assembly teams in a fast-paced prototype environment. This position requires a highly organized and proactive professional capable of managing thousands of unique components across multiple parallel projects while maintaining complete visibility over material status, risks, and timelines.

Hybrid Key Responsibilities Materials Procurement Receive material specifications and BOMs from engineering teams and coordinate procurement activities. Collaborate with procurement specialists to identify and engage suppliers from an established supply base. Support purchasing execution through P-card or purchase order processes while coordinating required approvals. Track supplier lead times and proactively communicate risks impacting project schedules. Coordinate with international suppliers and support customs/import documentation processes when required. Maintain accurate records of procurement activities, approvals, and supplier communications. Inventory & Materials Management Receive, inspect, and organize incoming materials within the designated on-site storage area. Develop and maintain tracking tools, dashboards, or spreadsheets to provide real-time visibility into inventory and procurement status. Maintain accurate tracking of materials that are on order, in transit, received, or allocated to builds. Ensure all materials are properly labeled, stored, and protected from damage or loss. Provide clear reporting on material readiness, shortages, and inventory availability to project stakeholders. Kitting & Build Support Prepare and organize kits for upcoming assembly builds according to project schedules. Coordinate closely with engineering and assembly teams to validate kitting requirements and timelines. Support material handoff processes to build teams while maintaining traceability throughout the assembly lifecycle. Ensure all required materials are available and staged ahead of scheduled builds. Communication & Collaboration Serve as the primary contact for all materials-related updates and inquiries. Proactively communicate procurement delays, shortages, or supply risks to engineering and project teams. Participate in regular project meetings and status reviews with cross-functional stakeholders. Collaborate effectively with procurement, engineering, PMO, and manufacturing teams to support project execution. Required Qualifications 3+ years of experience in materials management, procurement coordination, supply chain, or related fields. Experience managing multi-part BOMs and coordinating procurement across multiple suppliers simultaneously. Strong organizational and inventory management skills with the ability to build and maintain tracking systems or dashboards. Experience with purchase order processes, supplier coordination, and P-card procurement. Strong communication skills with the ability to provide proactive updates and escalate risks early. Ability to work effectively in a fast-paced, deadline-driven environment. Must be comfortable working on-site in Latham, New York on a hybrid basis. Preferred Qualifications Experience in manufacturing, engineering, R D, medical device, aerospace, or precision manufacturing environments. Familiarity with ERP systems such as SAP or similar platforms. Experience coordinating procurement activities with international suppliers and customs/import documentation. Exposure to high-complexity mechanical assemblies or prototype build environments. Experience creating dashboards, reporting tools, or visual inventory management systems.
