Procurement Support Coordinator (CSR) Job Summary The Procurement Support Coordinator provides frontline customer service and administrative support to procurement, accounts payable, and project teams. This role is heavily focused on SAP-based purchase order (PO) creation, processing & closeout , handling procurement-related inquiries, and ensuring timely coordination of orders, deliveries, and payments. This position is ideal for candidates with hands-on SAP experience and at least 2 years of experience in procurement, customer service, and accounts payable support , looking to grow within supply chain or finance operations. Key Responsibilities Procurement & SAP Processing (Core Focus) Create, update, and manage purchase orders in SAP (required) using transactions such as ME21N, ME22N, ME23N, ME51N, and ME80FN. Process and maintain quotations, service orders, and updates using SAP (e.g., VA02, IW31, IW32, IW33). Utilize SAP reporting tools (MB51, VL01N, etc.) to track procurement and order activity. Ensure all POs comply with company Terms & Conditions and General Conditions of Purchase. Review engineering service requests to ensure scope clarity prior to PO creation. Customer Service & Support Serve as the first point of contact for internal teams and suppliers regarding: Purchase orders and order status Accounts payable inquiries (invoice status, payments) Supplier and delivery coordination Provide timely responses and escalate issues when needed. Coordination & Order Follow-Up Coordinate with procurement, logistics, customs, and suppliers to ensure timely delivery. Monitor open orders and proactively follow up on delays or discrepancies. Support communication between project managers, engineers, buyers, and finance teams. Accounts Payable & Payment Support Manage PO creation and finalization, invoice matching, and payment tracking. Help resolve invoice discrepancies and payment-related issues. Identify basic process gaps and support continuous improvement efforts. Administrative & Reporting Support Provide administrative support to project, engineering, and finance teams. Maintain tracking logs and prepare reports using Excel and Microsoft Teams tools. Support daily and monthly procurement and payment reporting. Client & Internal Communication Support recurring meetings with stakeholders to review order status, deliveries, and payment issues. Track action items and ensure follow-through to avoid delays. Qualifications Required High school diploma or equivalent (Associate's degree preferred). Minimum 2+ years of experience in procurement support, customer service, accounts payable, or a related operational role. Hands-on experience creating PO's thru closeout with SAP is required (no exceptions) . Proficiency in Microsoft Excel and Microsoft Office. Strong communication, organizational, and problem-solving skills. Preferred Experience supporting procurement or supply chain operations. Familiarity with SAP transactions (ME21N, ME22N, ME23N, ME51N, MB51, VL01N, VA02). Experience in a high-volume, transactional environment.
