We're looking for a Materials Coordinator to manage purchasing, inventory, and warehouse organization that keeps our production running smoothly and in compliance with cGMP standards. You'll purchase raw materials and packaging, maintain inventory accuracy, You'll also support audits, supplier documentation, and reporting. The ideal candidate has 2+ years of experience in purchasing, inventory, or supply chain (manufacturing preferred), is detail-oriented, and enjoys both administrative and hands-on work.

Position Summary The Materials Coordinator is responsible for purchasing, inventory control to support efficient and compliant manufacturing operations. This role ensures that raw materials and packaging are purchased on time, and managed under strict compliance standards (21 CFR 111). The Materials Coordinator plays a key role in keeping production flowing smoothly, maintaining supplier relationships, and supporting audits and reporting requirements. Key Responsibilities Purchasing & Supplier Management

• Place, track, and confirm purchase orders for raw materials, excipients, and packaging supplies.
• Communicate with approved vendors to confirm lead times, negotiate pricing (within authority), and resolve delivery issues.
• Maintain supplier documentation (COAs, spec sheets, audit files) in compliance with cGMP requirements. Inventory Control
• Monitor ERP/MRP system for stock levels, reorder points, and production needs.
• Conduct cycle counts and reconcile discrepancies to maintain ≥97% accuracy. Regulatory & Compliance
• Ensure all purchasing, inventory, and warehouse activities comply with 21 CFR 111 , FDA dietary supplement regulations, and Vita-Pros SOPs.
• Support internal and external audits with complete and accurate material documentation.
• Maintain vendor qualification records and participate in supplier compliance initiatives. Reporting & Continuous Improvement
• Generate weekly reports on inventory status, purchasing activity, and material readiness for management review.
• Recommend improvements in warehouse flow, staging processes, and purchasing efficiencies.
• Collaborate with Production, Quality, and R D to align material supply with business needs. Qualifications
• 2+ years in materials coordination, purchasing, or supply chain (manufacturing environment preferred).
• Knowledge of dietary supplement, food, or pharma GMPs strongly preferred.
• Proficiency in ERP/MRP systems and Microsoft Excel.
• Strong organizational skills, attention to detail, and communication skills.
• Ability to lift/move up to 50 lbs and operate pallet jacks or forklifts (certification preferred). Performance Metrics (KPIs)

PO Accuracy:

≥98% alignment between purchase orders, deliveries, and invoices.

On-Time Material Staging:

100% of production runs staged 5 days ahead.

• Supplier OTIF (On Time In Full): ≥95%.

Audit Readiness:

Zero major findings for purchasing/inventory in audits. Growth Path This position is a C1 band role ($45k
