Job Summary:
We are seeking a detail-oriented Purchasing and Inventory Coordinator to join our team. This position works closely with the Purchasing Manager to support end-to-end purchasing operations, from order placement through receipt and payment processing. Core responsibilities include managing purchase order paperwork, reconciling incoming shipments against packing lists and POs, and ensuring accurate documentation is passed to Accounts Payable for payment. The role also supports inventory forecasting, vendor communication, and data accuracy within our purchasing systems.
Key Responsibilities:
Purchase Order & Receiving Documentation Review, process, and maintain purchase orders from submission through closure. Receive and reconcile vendor packing lists against purchase orders, flagging and resolving discrepancies. Complete receiving paperwork to verify that orders landed correctly, then route finalized documentation to Accounts Payable for payment processing. Maintain accurate records of order status, receipt confirmations, and any variances. Inventory Management Reconcile physical inventory with purchase orders and receiving records. Use data analytics to identify discrepancies and improve inventory accuracy. Collaborate with team members to ensure stock levels align with sales forecasts and customer demand. Inventory Forecasting & Purchase Orders Analyze historical data to support a rolling 52-week inventory forecast. Review system-generated purchase orders, verify accuracy, and coordinate timely submission to vendors. Vendor Management Communicate with vendors to resolve shipment discrepancies, confirm lead times, and maintain updated pricing and product records. Monitor vendor performance and escalate issues to the Purchasing Manager as needed. Operational Support & Process Improvement Generate and interpret purchasing and inventory reports to identify actionable improvements. Identify opportunities to streamline receiving and documentation workflows. Ensure compliance with company policies for purchasing, receiving, and payment practices.
Qualifications:
High school diploma or equivalent; post-secondary education in business, supply chain, or related field preferred. Experience in purchasing, inventory management, or supply chain operations, ideally within a retail or hardware environment. Proficiency with software tools like Epicor or similar ERP systems; familiarity with AI software is a plus. Strong analytical and organizational skills, with a keen eye for detail. Excellent communication skills for vendor coordination and cross-departmental collaboration. Ability to adapt to evolving technology and business processes.

This position requires a combination of physical activity and desk work. You will spend time sitting or standing at a desk for extended periods while reviewing reports, analyzing data, and processing purchase orders. The role also involves physical tasks such as counting inventory, comparing stock levels to system recommendations, and occasionally moving inventory items. You should be able to lift and carry items up to 50 pounds, including placing them on or retrieving them from shelves. The job may also require climbing ladders, bending, squatting, or standing for periods while conducting inventory counts or organizing stock. Attention to detail is critical, as you'll need to accurately identify differences between similar items and part numbers. Strong numerical and organizational skills are essential to succeed in this role. This role is regular full-time, non-exempt, hourly position.
