Job Description

Description We are looking for a detail-oriented Operations Specialist to support day-to-day business activities in Baton Rouge, Louisiana. This is a short-term contract position focused on coordinating office operations, responding to internal and external inquiries, and assisting with financial and administrative processes. The ideal candidate will bring strong organizational skills, sound judgment, and the ability to manage multiple priorities in a fast-paced environment.
Responsibilities:
  • Monitor and manage the shared operations inbox, ensuring questions and requests are addressed promptly or routed to the appropriate team.
  • Provide day-to-day support for accounts receivable and accounts payable inquiries, helping resolve routine issues with accuracy and professionalism.
  • Assist with invoice preparation and process correction invoices when updates are needed to maintain accurate billing records.
  • Support Baton Rouge order and freight activities within Medius, including invoice-related follow-up and coordination.
  • Create and maintain customer and vendor records, ensuring documentation is complete, current, and properly organized.
  • Develop reference materials and response guides for commonly asked questions related to operational forms and processes.
  • Help coordinate quality control and safety-related administrative support as needed across the operation.
  • Organize logistics and communications for customer or corporate visits, including meeting coordination and meal arrangements when required.
  • Track office supply levels and replenish inventory to keep the workplace running efficiently. Requirements
  • Experience supporting accounts payable, accounts receivable, invoicing, or other operational finance activities.
  • Ability to manage administrative tasks such as shared inbox coordination, scheduling, and office support with strong attention to detail.
  • Proficiency with Microsoft Word and Microsoft Excel for documentation, tracking, and reporting purposes.
  • Experience working with vendor and customer information, including record maintenance and file accuracy.
  • Strong written and verbal communication skills to support internal teams, visitors, customers, and vendors.
  • Ability to coordinate multiple priorities, meet deadlines, and adapt to changing business needs.
  • Background in office operations, vendor relations, or similar business support functions.
  • Willingness to participate in required training and contribute to quality and safety support activities as needed.
