QueensCare is a 501 (c)(3) nonprofit organization originally founded by the Franciscan Sisters of Sacred Heart, whose mission of compassion and accessible healthcare continues today. QueensCare provides screening, treatment, education, and preventive and direct care to Los Angeles area residents in need. Beyond that, we also give charitable grants to other non-profits making a difference in the City of Angels and fund scholarships for those entering medical fields with an interest in working in underserved communities. SUMMARY The Director of Executive Office (DEO)provides strategic administrative and operational leadership in support of the Chief Executive Officer (CEO) and the executive leadership team. Serving as the central coordinating hub of the executive office, the DEO oversees executive operations, board and committee administration, policy management, and organizational coordination across departments and affiliated entities. The DEO ensures that the CEO and executive leadership team are effectively informed, prepared, and supported in advancing organizational priorities and strategic initiatives. This position plays a critical role in driving alignment, consistency, and accountability across executive office functions and administrative operations. This position represents the CEO and executive office professionally, exercising a high degree of judgment, discretion, diplomacy and professionalism while managing sensitive and confidential matters. As a trusted partner to executive leadership, the DEO proactively identifies operational needs, streamlines processes, facilitates cross-functional coordination, and supports organizational effectiveness in a dynamic and evolving environment. The DEO manages sensitive information with the highest level of confidentiality and integrity. The DEO supervises executive and administrative support staff serving the executive leadership team and QueensCare Health Alliance, helping standardize administrative practices, improve communication flow, and strengthen coordination across the organization.
ESSENTIAL JOB DUTIES AND RESPONSIBILITIES
Executive & Board Support:
Supports and implements the organization's mission, vision, and values. Provides high-level executive support to the CEO and executive leadership team. Coordinates board and committee operations, including preparing agendas, reports, meeting materials, minutes and managing follow-up actions. Serves as a primary liaison between the CEO, board members, leadership staff, and external stakeholders. Drafts, edits, and finalizes correspondence, memoranda, presentations, and procedures for executive signature. Ensures executive leadership is adequately briefed and prepared for meetings, presentations, and organizational priorities. Executive Office Leadership & Coordination Oversees day-to-day operations of the executive office, ensuring effective coordination, communication, and workflow management across leadership functions. Supervises executive and administrative support staff serving the executive leadership team and QueensCare Health Alliance. Develops and standardizes administrative processes, protocols, and operational practices to improve organizational efficiency and consistency. Serves as a central coordination point between departments, leadership teams, affiliated entities, and external partners. Helps facilitate cross-functional collaboration and follow-through on organizational priorities and executive initiatives.
Policy & Contract Management:
Maintains the organization's policy library, ensuring policies are current, compliant, and accessible. Manages the policy review cycle and coordinates approvals with leadership and the board. Partners with insurance partners, compliance, legal counsel, and direct service staff to ensure adherence to regulatory and risk requirements. Collaborates with Director of Administration to ensure timely tracking, renewal, execution and archiving of contract management cycle. Tracks board-mandated reports and regulatory submissions to ensure deadlines are met. Expected to uphold organizational standards of professionalism, accountability, ethics, and integrity, while fostering a respectful and high-performing work environment. Responsibilities include providing ongoing coaching and performance feedback, addressing performance or conduct concerns in a timely manner, and utilizing progressive counseling, when appropriate, to support employee accountability and development.
Project Management & Strategic Support:
Leads and coordinates special projects and strategic initiatives on behalf of the CEO and executive leadership team. Tracks project deliverables, timelines, and follow-up actions across departments. Manages logistics and planning for executive, staff, and board-related meetings and events. Promotes transparency, alignment and communication across departments and organizational entities.
General Administrative Responsibilities:
Handles highly sensitive and confidential information with professionalism and discretion. Supports executive leadership with administrative coordination related to recruitment, onboarding, and employee communications. Supports employee engagement and recognition initiatives that reinforce organizational culture and mission alignment. Performs all other duties as assigned, including occasional evening or weekend work when required.
JOB KNOWLEDGE AND SKILLS
Exceptional organizational, prioritization, and project management skills. Demonstrated ability to coordinate complex executive operations in a fast-paced environment. Strong understanding of policy administration, contract management and executive office operations. Ability to exercise sound judgment, maintain confidentiality, and navigate sensitive matters diplomatically. Advanced written and verbal communication skills, with exceptional attention to detail and accuracy. Demonstrates advanced proficiency in Microsoft Office Suite and collaboration platforms, serving as a central coordinator to ensure seamless communication and organizational efficiency. Ability to balance multiple priorities, adapt to shifting demands and deadlines, and maintain a high level of professionalism under pressure. Demonstrated ability to work effectively with senior leaders, board members, and external stakeholders. Strong leadership, supervisory, and relationship-management skills.
QUALIFICATION S
Education:
High school diploma or equivalent required; Associate's or Bachelor's degree preferred.
Experience:
Minimum of 10 years in progressively responsible administrative or operational leadership roles. At least 5 years providing executive-level support, preferably in a healthcare, nonprofit, or similarly complex environment. Experience supporting boards and executive leadership teams strongly preferred. Experience with policy administration, contract management, project coordination, and organizational operations preferred. Prior supervisory or team leadership experience preferred. The pay range for this role is: 115,523 - 150,244 USD per year(US National)
