SYNOPSIS OF DUTIES
The Board & Executive Coordinator is responsible for supporting the Board of Directors and executive leadership through the coordination of governance activities, board communications, and administrative operations. This role serves as the primary administrative liaison between the C‑Suite and the Board of Directors for board‑related matters, ensuring timely preparation of materials, effective meeting coordination, and adherence to governance processes. This position requires a high level of professionalism, discretion, and organizational skills, with a primary focus on supporting Board operations, while also assisting executive leadership with reporting and administrative needs.RESPONSIBILITIES
Board & Governance Support (Primary Focus) Serves as the primary administrative support to the C‑Suite and acts as the principal administrative liaison to the Board of Directors and its committees, coordinating communications, requests, and meeting logistics. Coordinates all Board and committee meetings, including scheduling, agendas, materials, and logistics (on-site and off-site). Prepares, compiles, and distributes Board meeting packets, including consent agendas and supporting reports. Records, prepares, and distributes Board and committee meeting minutes in a timely and accurate manner. Coordinates Board member travel, lodging, and meal arrangements, including expense reporting and reimbursements. Plans and implements Board-related events, including the annual Board retreat (logistics, materials, and coordination). Maintains Board records, including signed minutes, financial statements, and governance documentation. Manages Board technology needs, including iPad updates and secure document distribution. Maintains Boardroom scheduling, setup, and readiness for meetings. Executive & Administrative Support Assists executive leadership with preparation and distribution of reports and presentation materials. Prepares and distributes recurring reports and internal documents assigned. Make meeting arrangements for executive staff and leadership meetings. Processes incoming and outgoing correspondence for executive staff, including distribution and filing. Maintains administrative records, including corporate credit cards, memberships, subscriptions, and related documentation. Prepares and submits expense reports for Board members and executive staff. General Administrative & Operational Support Maintains office supplies inventory and orders supplies as needed. Maintains and distributes internal schedules and communications. Supports special projects and assignments needed to facilitate organizational priorities. Ensures compliance with all applicable laws, regulations, and internal policies, including confidentiality requirements related to member and organizational information.MINIMUM QUALIFICATIONS
High school diploma required, associate degree or higher preferred. Minimum of 3-4 years of related administrative experience, preferably supporting senior leadership or board-level functions. Strong written and verbal communication skills, with the ability to interact professionally with executives, board members, and staff. Proficient in Microsoft 365 (Word, Excel, PowerPoint) and other business systems. Highly organized, detail-oriented, and able to manage multiple priorities independently. Demonstrated ability to handle confidential information with discretion and professionalism.Location:
