Job Description
We are seeking a highly organized, disciplined, trustworthy, and fast-moving Executive Operator to serve as the right hand to Mark Oliver. Mark Oliver is a CEO, founder, entrepreneur, speaker, community leader, media personality, and former athlete leading multiple organizations and initiatives across education, nonprofit work, special needs services, athletics, affordable housing, real estate, events, media, podcasting, community development, and business growth. This is not a traditional assistant role. This is a high-trust, high-performance position for someone who can help keep Mark organized, prepared, focused, sharp, and operating at the highest level every day. Mark's work includes running and growing Specially Fit Foundation, SFA Academy, special needs programs, group homes, affordable housing properties, apartment communities, athletic programs, community events, media projects, The Mark Oliver Show, podcast appearances, social media content, donor relationships, business partnerships, school tours, real estate projects, and public speaking opportunities. The right person must be able to move between different environments with professionalism, including schools, gyms, apartment communities, events, media appearances, meetings, nonprofit programs, construction or property projects, and community outreach. This role requires someone who can handle executive support, scheduling, organization, personal preparation, operations, errands, social media support, event coordination, project follow-up, and daily accountability. The main mission of this role is to protect Mark's time, energy, schedule, image, health, organization, and execution so he can focus on high-value work: speaking, selling, fundraising, building partnerships, growing the brand, creating opportunities, leading the team, expanding the mission, and making a larger impact in the community. Position Title Executive Operator / CEO Right Hand for Mark Oliver Compensation Expected range: $55,000-$70,000 annually, based on experience, availability, and ability to execute. Performance-based bonus opportunities may be available. A 90-day trial period may be used to evaluate fit, performance, reliability, and long-term potential. Key Responsibilities Manage and organize Mark's daily and weekly schedule, including meetings, interviews, tours, workouts, events, calls, appointments, and public appearances. Keep Mark on time, prepared, and aware of all daily priorities, deadlines, meetings, and commitments. Prepare daily briefings, reminders, talking points, addresses, meeting notes, and key priorities. Research meeting guests, podcast guests, donors, supporters, business contacts, community leaders, potential partners, and key decision-makers before important meetings or interviews. Confirm appointments, school tours, apartment tours, donor meetings, interviews, events, workouts, media appearances, and follow-ups in advance. Help protect Mark's time by handling errands, reminders, coordination, scheduling, and lower-level tasks that pull him away from bigger-picture growth. Support executive readiness, including outfit preparation, appearance checks, grooming reminders, travel items, documents, and materials needed for meetings, interviews, tours, and public appearances. Help maintain organization around Mark's workspace, clothes, bags, documents, daily essentials, and personal systems. Support daily performance routines, including reminders around meals, hydration, workouts, preparation, and staying on schedule. Attend workouts or training sessions when needed to help with accountability, timing, filming, organization, and consistency. Help make sure Mark is prepared, sharp, and locked in before important moments, including interviews, podcasts, speeches, meetings, events, and business opportunities. Coordinate social media support, including posting, story uploads, captions, content reminders, basic edits, and communication with video editors or content team members. Capture behind-the-scenes content when needed during events, workouts, school visits, interviews, tours, community work, business meetings, and daily operations. Organize video clips, photos, podcast notes, content ideas, captions, and posting schedules. Make sure important moments are captured and turned into content for Instagram, Facebook, YouTube, podcasts, and other media platforms. Help support The Mark Oliver Show by assisting with guest research, scheduling, talking points, content organization, clips, posting, and follow-up. Coordinate with workers, vendors, staff, contractors, property managers, school staff, coaches, event staff, and team members to make sure tasks are completed. Check on projects, collect updates, request photos or videos, and report progress back to Mark. Run business-related errands when needed, including picking up supplies, materials, documents, equipment, event items, property items, and other operational needs. Help prepare for school tours, apartment tours, donor visits, event walkthroughs, media visits, and community partner meetings. Make sure locations are clean, organized, presentable, and ready before important visitors arrive. Assist with event planning, setup coordination, guest lists, vendor communication, supplies, timelines, and day-of execution. Help oversee workers and staff during events, school activities, apartment work, property projects, community programs, and special projects. Follow up with parents, supporters, vendors, donors, partners, students, tenants, staff, prospects, and other contacts when assigned. Help identify opportunities to improve systems, save time, increase organization, and keep important tasks from falling through the cracks. Track open tasks, unfinished projects, urgent needs, and items that require Mark's decision. Create daily and weekly priority lists to keep execution moving. Help Mark stay focused on high-value activities such as selling, speaking, fundraising, building partnerships, growing the brand, creating content, and being visible in the community. Maintain confidentiality and protect private information related to Mark, his businesses, students, families, clients, residents, partners, staff, and organizations. Weekly Responsibilities Build, review, and organize Mark's weekly schedule. Confirm upcoming meetings, school tours, apartment tours, interviews, workouts, events, media appearances, community events, and public commitments. Review unfinished tasks and make sure important items are followed up on. Help create a weekly content plan based on upcoming events, school activities, community work, podcast episodes, business updates, media opportunities, and speaking opportunities. Check in with key team members and gather updates on active projects. Help plan upcoming school events, athletic events, community giveaways, apartment tours, donor visits, media shoots, podcast recordings, and business meetings. Organize documents, supplies, outfits, workspaces, and daily systems to keep Mark prepared and ready. Provide a weekly summary of completed tasks, upcoming priorities, open loops, and items that need attention. The Right Candidate Should Be Extremely organized and detail-oriented. Comfortable giving respectful accountability and direction when needed. Able to work independently without needing constant supervision. Flexible and willing to move throughout the day as priorities change. Calm under pressure and able to solve problems quickly. Good with social media basics, including Instagram, Facebook, YouTube, captions, posting, stories, and organizing content. Comfortable capturing content and understanding what moments should be filmed or posted. Able to handle errands, events, operations, personal organization, and hands-on execution. Able to keep private matters private. Strong enough to work with a demanding CEO and a fast-growing organization.
