Confidential Automotive Company | Tewksbury / Lowell, MA Area Full-Time | In-Person Dealership Accounting Experience Required Notary Preferred Are You Great at the Dealership Office Side, But Ready for More? A growing automotive company is conducting a confidential search for a highly organized dealership accounting and administrative professional to work directly with the CEO as a trusted right hand. This role is ideal for someone who already understands dealership accounting, titles, registrations, billing, payoffs, contracts, paperwork, deadlines, lenders, vendors, customers, and the constant follow-up it takes to keep a dealership running. You may already be the person people depend on. You catch the mistakes. You fix missing paperwork. You follow up when others forget. You keep things moving behind the scenes. But maybe your current role has a ceiling. Maybe you are valuable, dependable, and trusted, but you are not getting the growth, exposure, income potential, or influence you know you are capable of. This opportunity is for someone who wants more. About the Opportunity This is not a basic admin role. This is not a traditional back-office dealership role. This is a right-hand role working directly with the CEO of a growing automotive company that is building beyond the traditional dealership model. The company is involved in automotive retail, service, EVs and hybrids, business growth, operations, real estate, capital, and other strategic projects. The CEO is looking for someone who can help organize the business, support dealership accounting and office functions, manage follow-up, handle documents, track what matters, and make sure important items do not fall through the cracks. As the CEO and company grow, this role is designed to grow too, in responsibility, compensation, trust, influence, and exposure. What You Will Do Dealership Accounting & Office Support Support dealership accounting, office administration, and financial organization. Help review and organize accounting records, schedules, reports, and dealership paperwork. Track payables, receivables, deposits, funding, payoffs, contracts, and office follow-up items. Support month-end preparation and accounting cleanup. Work with accounting staff, managers, lenders, vendors, and outside professionals. Help create visibility into what is pending, missing, overdue, or incomplete. Help keep the business financially and administratively organized. Titles, Registrations & Notary Work Process and track vehicle titles, registrations, and related paperwork. Follow up on missing documents until completed. Support deal jackets, payoffs, lender documents, insurance documents, customer paperwork, and vendor paperwork. Keep title and registration files accurate and organized. Handle notary work for customer, company, and business documents. Current notary preferred. Willingness to become a notary is required. Executive Administrative Support to CEO Work directly with the CEO to help manage email, calendar, meetings, follow-up, and priorities. Draft emails, follow-up messages, meeting notes, and task lists. Track open items and make sure important things get completed. Help organize documents, calls, meetings, deadlines, and business priorities. Support additional executives with administrative and follow-up needs. Help the CEO stay focused on leadership, growth, capital, and high-value business activity. Business Organization & Systems Create and maintain trackers, checklists, spreadsheets, and follow-up systems. Organize files, folders, reports, company records, and business documents. Help build simple systems so the company runs with more structure. Track deadlines, open loops, and important business commitments. Help coordinate between sales, service, accounting, finance, ownership, and outside partners. Support special projects involving business growth, lending, fundraising, real estate, compliance, and operations. Professional communication skills. Reliable attendance. Ability to manage multiple priorities at once. Must be able to work in person in the Greater Tewksbury / Lowell, MA area. Bilingual English/Spanish preferred. Notary preferred or willingness to become a notary. Confidentiality This is a confidential search.
