Job Description

Position:
Assistant to the CEO Reports to: Chief Executive Officer (CEO)
Classification:
Full Time/Exempt Salary:
$50,000-$65,000
Summary/Objectives:
Job Purpose:
Provide executive-level support to the Chief Executive Officer (CEO). This individual is also responsible for managing board and council communications and the Lake to River office.
Job Duties and Responsibilities:
Provide administrative leadership to the
CEO:
Provide administrative and coordination support for the executive
  • Maintain CEO's calendar and calls using judgment and discretion in coordinating external and internal activities and commitments.
  • Screen public requests and situations not requiring the personal attention of the President/CEO and refer to appropriate staff.
  • Review and route incoming documents and reports, establish priorities, and gather pertinent background information to facilitate appropriate action.
  • Draft and edit letters, emails, and other correspondence from the CEO.
  • Support community event or meetings
  • Organize staff meetings and retreats
  • Provide event support, as directed by CEO
  • Support projects managed by executive staff members.
  • Attend department leadership or other meetings; document and follow-up on action items as required.
  • Take notes and follow up on assignments at operational meetings Perform additional duties as assigned
Board Operations:
  • Coordinate board, council and committee meetings, including scheduling, disseminating materials, taking minutes, and logistics.
  • Maintain board records and support the board with administrative tasks including attendance, documentation, and annual administrative requirements.
  • Serve as a liaison between the CEO, board members, and staff to support communication and follow-through. Office Management
  • Manage daily office tasks including welcoming guests, shipping and accepting deliveries, opening and appropriately disseminating daily mail, ordering supplies, arranging maintenance and equipment repairs or other needs.

  • 4-7 years' experience supporting senior management or executives
  • Ability to manage sensitive and confidential information with discretion.
  • Exceptional written and verbal communication and organizational skills, and attention to detail.
  • Proactive, positive, resilient, self-starter, high degree of initiative.
  • Proven ability to work with individuals of diverse backgrounds and positions (staff, board members, partners, donors, elected officials, vendors).
  • Organization, prioritization, and time management skills
  • Flexible, adaptable, and able to coordinate moving parts smoothly.
  • Ability to anticipate and support others' needs; take initiative
  • Advanced knowledge of Microsoft Office software, including Word, Excel, PowerPoint and Outlook.
Preferred Background:
  • Bachelor's degree in business, English/writing, computer science or human resources preferred
  • A robust knowledge of the Lake to River region.
Experience supporting board members, partners, donors, or external stakeholders.
Physical Requirements:
  • Ability to work in an office environment and collaborate with others, including extended periods of sitting, typing, and computer use, along with routine movement throughout the workplace.
  • Regular use of standard office equipment, including computers, phones, and printers.
  • Occasional lifting or moving of items up to 25 pounds.
  • Ability to travel locally as needed for meetings or events, including a valid driver's license and insurability.
Line of Communication and Accountability The Assistant to the CEO reports directly to the CEO and may also support and provide reports or key information to the Board of Directors as requested by the CEO. Performance Standards The effectiveness of Assistant to the CEO is measured against annual goals established with the CEO and are based upon internal and external performance measures articulated in the Lake to River plan of services.
