Full-Time TEPCON Construction (an ESOP company) is seeking a highly organized and proactive Executive Administrator to support our Chief Operating Officer (COO). This is a critical role responsible for maintaining operational alignment, driving accountability, and ensuring day-to-day priorities stay on track across the organization. This is not a traditional administrative position. The ideal candidate is a forward-thinking professional who thrives in a fast-paced environment, communicates with confidence, and takes ownership of outcomes. The Executive Administrator serves as a key partner to the COO, providing coordination, structure, and follow-through across multiple teams and priorities. Key Responsibilities Coordinate and facilitate meetings, including agenda development, documentation of key takeaways, and tracking follow-up actions Monitor action items and support accountability across departments Serve as a central point of coordination between project management, field operations, and accounting teams Manage administrative functions including scheduling, onboarding coordination, fleet oversight, and expense tracking Assist in the development and maintenance of weekly scorecards and operational reporting tools Proactively identify gaps, anticipate needs, and ensure priorities remain aligned and on schedule
Qualifications:
Successful candidates will demonstrate: Strong organizational and time management skills with exceptional attention to detail Confidence in direct, professional communication across all levels of the organization Ability to manage shifting priorities and meet deadlines in a fast-paced environment A high level of accountability and consistent follow-through Initiative and the ability to anticipate needs without requiring constant direction This role may not be the best fit for individuals who: Prefer highly structured, predictable work environments Require frequent direction or oversight Are uncomfortable addressing accountability or follow-up conversations
