Job Description
The Vice President of Maintenance Operations has P&L ownership and accountability to include budgeting, forecasting, and profitability. This role oversees all Company maintenance personnel in our Landscape, Maintenance, Janitorial and Construction Divisions, and is responsible for driving sales, delivering services, business development, and the overall success of the divisions to achieve annual objectives including high levels of client satisfaction. This role reports directly to Branch President with dotted line to Regional RVP and RFSD of Maintenance.
Requirements:
Responsibilities . Maintain and enhance current vendor program, including establishing new services and vendor relationships to support new services, and sustaining existing relationships. . Reports directly to Branch President with dotted line to Regional RVP and RFSD of Maintenance . Execute capital and reserve study projects, in addition to evaluating problematic systems, determining what repairs need to be performed, and preparing cost estimates. . Serves both internal and external clients and board members within many different disciplines such as landscape maintenance, janitorial, plumbing, electricity, and other general repairs. . Involved with the hiring of workers and ensuring staff follow appropriate federal and state safety guidelines. . Safety training of maintenance staff per OSHA requirements . Prepare preliminary project plan and assist in obtaining project scope of work. . Financial analysis and creation of project budget in collaboration with the Board of Directors. . Work in partnerships with community managers to provide Board of Directors with funding recommendations on capital and reserve projects. . Solicit proposals, coordinate site walks (as needed), and development of bid comparison matrix for presentation to the Board of Directors. . Conduct contractor interviews, as needed. . Provide continuous flow of communication to all stakeholders, including the Community Manager, board and membership, and trades. . Regular updates to BP, leadership team; Regular updates downstream on progress to plan. . Review of payments and invoice processing as it related to vendor contracts, including review of all project change orders. . Project close out management; including, but not limited to, punch list development and monitoring, final payments, homeowner surveys and project warranty documents. . Work with Branch, Regional and National Leadership to prepare annual branch budget and forecasts . Gratitude, incentive, and team building initiatives . Timely billing, invoicing, and end of month adjustments/accruals . Financial accountability for total branch maintenance revenue and margin goal resultsRequirements:
Knowledge and Skills Employee management and team building skills Strong capabilities in bidding/estimating repair and maintenance projects Knowledge of Exactimate and/or similar software Knowledge of Microsoft Office products (Word, Excel, Outlook, etc.) at an intermediate level. Knowledge of contract and vendor agreements Knowledge of bid request and scopes of work Ability to manage P&L's with financial responsibility for the division Knowledge of company policies, procedures and forms at a proficient level. Knowledge of State or local governmental safety requirements. Knowledge of general maintenance requirements, (documentation, safety, required reporting, regulations, etc.) Knowledge of electrical and plumbing codes and maintenance requirements, (documentation, safety, required reporting, regulations, etc.) Knowledge of HVAC, including codes and maintenance requirements, (documentation, safety, required reporting, regulations, etc.) Knowledge of OSHA worksite and personal safety requirements. Confidentiality and discretion in the performance of all duties and responsibilities. Time management and time critical prioritization skills. Qualifications 3 - 5 years of directly related or closely related experience Supervisory experience within the construction/maintenance sector High School Diploma or GED Required, AA or BA preferredBenefits Summary:
