Submit your application for the opportunity below: Executive Asst Job Summary And Qualifications Provides administrative/secretarial support and assists in providing solutions for patients' and visitors' problems in a courteous and concerned manner. Handles sensitive matters as they arise in the absence of the Administrative Staff and according to hospital policy. Ensures that intra office matters are handled properly and works closely with hospital staff in satisfying the needs of Administration for appointments, meetings, and special requests. Maintains appointment schedule for Chief Operating Officer, Chief Medical Officer and Chief Financial Officer and uses discretion in making revisions to the schedule. Maintains confidentiality of the office's operations and decision-making processes.
JOB SPECIFIC DUTIES
Keeps Manager informed of pertinent issues. Maintains appointment schedule for Chief Financial Officer, Chief Operating Officer, and Chief Medical Office, coordinates meeting arrangements, and uses discretion in making revision to the schedule. Provides assistance to Chief Financial Officer, Chief Operating Officer, and Chief Medical Officer in managing daily workflow
  • sets priorities to prevent unnecessary interruptions.
Provide support to executive leaders by composing, transcribing, or typing as appropriate, memos, letters, reports and meeting minutes. Type written material is presented within the period requested. Provides assistance in planning and coordinating large group functions and ensures that appropriate facilities and accommodations are available. Simultaneously handles several projects in a successful and accurate manner. Communicates Chief Financial Officer, Chief Operating Officer, and Chief Medical Officer instructions to department managers and staff in a tactful, direct manner, and follows-up as requested. Performs a variety of documentation assignments that are confidential in nature and promptly completes assignments. Maintains contact listings for vendors/executives for assistance in contacts. Orders office supplies for the executive suite. Compiles and maintains all physician contracts including, but not limited to Professional Service Agreements, NICA agreements, Leases, Physician Expense Reimbursement Agreements, and Patient Transfer Agreements Assists in obtaining Fair Market Valuations, submitting requests through proper channels, gathering and providing documentation to valuation vendors Generates appropriate letters of appointments for service on committees, including BOT, MEC, and various Advisory Committees Complies and maintains all general contracts for facility, including but not limited, to School Affiliation Agreement, Maintenance Agreements, Equipment Leases, software licenses, etc Assists facility department directors with development and processing of new or revised contracts including vendor follow-up to ensure contracts are developed & submitted timely. Coordinates necessary contract approvals between vendors, legal, division and other parties to ensure necessary approvals are obtained. Processes contract invoices/payments, time logs for physician payments, referral source check requests, etc. on a timely basis ensuring no late payments Advises management immediately of any possible risk management issues. Provides office coverage as needed, i.e., answers, screens and refers telephone calls in an efficient manner; greets visitors, ascertains the reason for the visit and refers to the appropriate party. Maintains an accurate filing/electronic storage system. Utilizes CONCUR to organize travel arrangements including plane tickets, meeting registrations, hotel, rental car and other specified preparations as well as for compiling and filing expense reports for Chief Financial Officer, Chief Operating Officer, and Chief Medical Officer. Provides solutions for patients' and visitors' problems in a courteous and concerned manner, handling sensitive matters as they arise in accordance to the hospital policies. Maintains strict confidentiality of the office's operations and decision making processes. Tracks and assists in the renewal of hospital licenses, including providing documentation for hospital recredentialing for managed care Maintains flexibility in scheduling if special project requires special hours. Provides administrative support for the ECO and the Institutional Review Committee, which includes coordinating meetings and distribution of appropriate information. Demonstrates the ability to deal effectively with assignments and the ability to utilize available resources Demonstrates ability to perform in a calm professional manner during a crisis or emergency situation. Performs other related functions as assigned.
What qualifications you will need:
EDUCATION REQUIRED AND/OR PREFERRED
High School Graduate or GED. Associate Degree in Office Administration or equivalent is preferred.
EXPERIENCE REQUIRED OR PREFERRED
5 years related experience.
