ABOUT OUR PRACTICE
We are a forward-thinking biological holistic dental practice that treats patients through the lens of whole-body health — because we believe dentistry and general wellness are inseparable. Our services span airway treatments, dental surgery, cosmetic dentistry, orthodontics, and nutritional IV therapy, all delivered in a fully paperless, technology-driven environment. Our practice features in-house dental lab 3D printing, cutting-edge digital workflows, and a commitment to staying at the frontier of what dental care can be. We don't practice dentistry the conventional way — and we don't hire conventionally either.
THE OPPORTUNITY
This is not a standard office manager role. As our COO / Director of Practice Operations, you will be the operational backbone of the practice — overseeing financial performance, human resources, patient experience, scheduling, and strategic growth. You will work directly alongside the practice owner to shape the future of one of the most technologically and philosophically progressive dental practices in the region. WHAT YOU'LL OWN
Financial Leadership
- Drive production and profitability by meeting and exceeding established financial targets
- Collaborate with the practice owner on annual budgets and long-range financial planning
- Oversee accounts receivable, point-of-service collections, and patient payment arrangements
- Participate in accounting functions and payroll processing
- Develop and direct operating policies aligned with overall practice goals Team & Human Resources
- Lead all HR functions: hiring, onboarding, training, performance management, compensation, and compliance
- Build and sustain a motivated team oriented toward exceptional, whole-patient care
- Ensure full adherence to HIPAA, OSHA, infection control, waste disposal, and all applicable employment laws Operations & Vendor Management
- Oversee day-to-day operations across all practice functions
- Manage relationships with outside vendors including billing agencies, IT support, bookkeepers, and payroll processors
- Oversee facility maintenance, equipment selection, and supply ordering
- Represent the practice with provider organizations and external partners Patient Experience & Front Office
- Oversee patient scheduling, billing, and records — ensuring accuracy, efficiency, and strict confidentiality
- Develop and implement new patient onboarding and reengagement protocols
- Conduct financial consultations with new and existing patients when treatment plans are presented
- Assist in developing patient education materials aligned with holistic and biological dentistry principles Marketing & Strategic Growth
- Oversee the practice's overall marketing strategy
- Identify and execute strategic initiatives to expand services and drive sustainable growth
- Bring ideas to the table — this role has a genuine seat at the strategy table
WHO YOU ARE
You're an operator at heart — organized, decisive, and energized by complexity. You communicate with clarity and warmth, whether coaching a front desk coordinator or presenting financial results to the practice owner. You take compliance seriously without losing sight of the human experience for patients and staff alike. And critically, you are comfortable with — and genuinely excited by — technology. Required Qualifications
- 5+ years of experience in dental practice management, OR equivalent experience in healthcare or multi-site business operations with a demonstrated ability to learn new industries rapidly
- Strong financial and analytical skills, including budget management and revenue cycle oversight
- Demonstrated knowledge of HR management and employment law compliance
- Excellent verbal and written communication skills, adaptable across diverse audiences
- Ability to handle sensitive and confidential information with absolute discretion
- Comfort with digital tools, paperless workflows, and practice management software Preferred Qualifications
- Experience with Eaglesoft dental software
- Background in holistic, biological, or integrative healthcare settings
- Familiarity with in-office 3D printing, dental lab workflows, or nutritional therapy programs
- Experience in airway-focused practices, cosmetic dentistry, or orthodontic operations
