Chief Operating Officer (COO) Ideal Millwork | Franklin, Tennessee About Ideal Millwork Ideal Millwork is a family-owned millwork and building products company headquartered in Franklin, Tennessee. Founded over 25 years ago, the business has grown alongside one of the fastest-expanding real estate markets in the country. The company supplies interior and exterior doors, hardware, millwork, shutters, and related products, supported by a trusted network of long-standing vendor relationships. At its core, Ideal Millwork is built on relationships with customers, partners, and team members. As the company enters its next phase of growth, there is a opportunity to build the structure and operational foundation needed to scale while preserving its culture and identity. Position Overview The Chief Operating Officer (COO) will serve as the operational leader of Ideal Millwork, responsible for driving execution across all areas of the business following the point of sale. This individual will oversee day-to-day operations end-to-end, including production, project execution, team leadership, systems development, and organizational structure. The COO will report directly to the Founder & CEO and partner closely with the Fractional CFO to ensure operational alignment with financial goals. Key Responsibilities Culture & People Leadership Build and lead a connected, accountable, and high-performing team across both field and office environments Bridge the gap between shop operations and office functions to create a unified culture Lead, develop, and hold accountable team members across operations, logistics, and administrative functions Identify organizational gaps and drive hiring of key roles as the business scales Implement and manage performance management processes, including goal setting, feedback, and accountability Design and execute training programs to support team development and consistency Operations & Production Own daily business operations, including production timelines, project scheduling, installation coordination, and delivery execution Develop and implement standard operating procedures (SOPs) across all major operational functions Ensure seamless handoff from sales to operations, maintaining a high-quality customer experience post-sale Improve cross-functional communication between estimating, production, and project execution teams Establish and track key operational KPIs to drive accountability and performance Organizational Structure & Process Design and implement a clear organizational structure with defined roles, responsibilities, and reporting lines Develop job descriptions and accountability frameworks across the organization Identify inefficiencies and implement process improvements to increase operational effectiveness Partner with the Fractional CFO on budgeting, cost control, and financial visibility Oversee and optimize use of core systems (NetSuite, Gusto), ensuring data accuracy and adoption Strategic Partnership to Founder Serve as a trusted partner to the Founder & CEO, enabling a shift in focus toward growth, sales, and strategic relationships Translate strategic goals into operational execution plans Provide proactive solutions and operational insights to leadership Escalate issues appropriately while maintaining ownership of day-to-day operations Success in This Role Within the first 6-12 months, the COO will: Establish a clear organizational structure with defined ownership and accountability Implement SOPs across core operational functions Build and launch a consistent performance management framework Improve alignment and communication between field and office teams Develop and implement training programs across roles Establish KPI tracking and reporting cadences for operational visibility Hire and onboard key leadership roles within operations Enable the Founder & CEO to focus primarily on growth and strategic initiatives Who You Are You are a builder and operator who thrives in dynamic, growing environments. You bring both structure and leadership, and you are equally comfortable setting strategy and executing at a detailed level. Strong, direct communicator who is comfortable navigating difficult conversations People-first leader with the ability to build trust while driving accountability Experienced in building systems, processes, and teams from the ground up Comfortable operating in ambiguity and creating clarity Able to balance operational discipline with the nuances of a family-owned business culture Hands-on and execution-oriented, with no hesitation to step into the details when needed Qualifications 5+ years of operational leadership experience with direct team management Proven experience building systems, processes, and organizational structure Demonstrated success leading through change and scaling operations Strong financial acumen and experience partnering with finance leadership Experience with
ERP/HRIS
systems (NetSuite, Gusto, or similar) Excellent communication and leadership skills across all levels of an organization Background in millwork, construction supply, or project-based trade industries Experience managing both field/warehouse and office-based teams Experience building performance management and training programs
Compensation & Details Target Compensation:
$155,000 - $175,000 + bonus
