None About the Role Pinnacle Oil & Gas Holdings is one of the Gulf Coast's fastest-growing operators of retail fuel and convenience locations, with a portfolio of over 100 sites across Texas and the Southeast. We are seeking an experienced and decisive Head of Administration to lead our corporate administrative function and manage a team of 15. This is a senior leadership role that sits at the intersection of people management, operational oversight, and executive support. The right candidate is a natural organizer and team builder who keeps corporate operations running at a high standard while ensuring leadership has everything they need to make fast, informed decisions. Leadership & Team Management Directly manage, develop, and hold accountable a corporate administrative team of 15 employees across various functions Set clear performance expectations, conduct regular check-ins, and provide ongoing coaching and feedback to team members Assign workloads strategically across the team based on priority, capacity, and skill set Identify gaps in team capabilities and make staffing or training recommendations to CEO/CFO Foster a culture of accountability, professionalism, and continuous improvement within the admin department Resolve internal team conflicts and escalate personnel issues to leadership as appropriate Corporate Administrative Operations Oversee the day-to-day administrative operations of the corporate office, ensuring systems, processes, and workflows run efficiently Own and manage the company's master task and priority tracker, ensuring all open business items are assigned, tracked, and resolved in a timely manner Serve as the central coordination point between all internal departments — operations, real estate, finance, legal, and permitting — ensuring cross-functional alignment and follow-through Establish and enforce administrative policies, procedures, and filing standards across the team Maintain organized document management systems in Google Drive and other internal platforms Ensure all corporate deadlines, filings, renewals, and compliance items are tracked and completed on time Identify inefficiencies in current administrative processes and implement improvements to increase productivity across the team Executive Support Serve as the primary administrative liaison to the CEO and CFO, ensuring they are fully briefed on pending items, upcoming deadlines, and action items requiring their attention Manage executive calendars, scheduling, and correspondence as needed Prepare concise status updates and briefings for leadership on the state of open corporate and operational items Handle sensitive and confidential information with the highest level of discretion Anticipate leadership needs and take initiative to address issues before they escalate Qualifications Proven track record of directly managing teams of 10 or more employees in a fast-paced environment Experience in oil & gas, retail fuel, convenience operations, or multi-site commercial real estate is a strong plus Exceptional organizational skills with the ability to manage high volumes of concurrent priorities without losing track of details Strong leadership presence — comfortable holding a team accountable, delivering direct feedback, and making day-to-day decisions independently High proficiency in Google Workspace (Drive, Sheets, Docs) and Microsoft Office Suite (Excel, Word, Outlook) Outstanding verbal and written communication skills; professional and clear in interactions with staff, vendors, and C-suite leadership Process-oriented mindset — you build systems, not just react to issues Discretion and confidentiality are non-negotiable in this role Available to start immediately
