Brief Role Description The Account Analyst ensures all account information is accurate, organized, and up to date from the time a sale closes through final billing. They gather updates from Account Managers, maintain internal systems, and document changes in scope, cost, schedule, and pricing. This includes general "housekeeping" of all account files and contract documents. The role serves as the operational link between Account Managers and Sales Operations to support timely, accurate invoices. They monitor schedule updates and coordinate with Construction to confirm milestones when progress or timelines are unclear. Familiarity with customer contract terms is essential to ensure documentation and billing align with contractual requirements. The Account Analyst also collaborates with Finance, Construction, and Operations to resolve documentation or billing discrepancies. They prepare financial summaries, maintain consistent and audited documentation across systems, and help ensure smooth handoffs between teams. Overall, this role supports data accuracy, operational clarity, and reliable billing outcomes.

  • assign 50% of time spent Create and maintain project schedule of values (used in Procore and billing) Update and validate cost, pricing, and scope changes from sale close through billing Update schedule of values for sales operations to update prime contracts Follow up and track customer potential change order approvals Draft estimates by gathering pricing inputs, confirming assumptions, and assembling clear summaries for review Ensure financial updates align with customer contract terms and billing requirements Monitor schedule updates to confirm milestone completion for billing readiness, verifying with Construction when timelines are unclear Prepare financial summaries and status updates for Account Managers and internal teams Document Management•40% of time Maintain organized, accurate, and audit‑ready documentation for each account, including contracts, approvals, estimates, and supporting documents Perform ongoing "housekeeping" of account files to ensure consistency, completeness, and compliance Gather updated documentation from Account Managers and validate that changes in scope, cost, and schedule are properly supported Ensure documentation aligns with contractual obligations and internal standards Provide Sales Operations with the required documents for timely and accurate invoicing System & Data Integrity•10% Enter and update account details across multiple internal systems to keep information accurate and aligned (including Procore, Salesforce, etc.
) Document and follow workflow processes to support standardized, reliable data entry Identify and resolve data gaps, missing updates, or inconsistencies across systems in partnership with Finance, Operations, and Construction Qualification requirements

Strong analytical and conceptual thinking to interpret scope changes, understand financial impacts, and reconcile data across systems Strong ownership mindset to track and update cost, pricing, and project details from the moment work is approved until billing is completed, preventing delays or errors Detail‑oriented with strong organizational skills to manage multiple change orders, track approvals, and maintain accurate documentation Excellent interpersonal skills to work effectively with Account Managers, Sales Operation, Construction Operations and other internal parties Understands when to escalate discrepancies or seek clarification to ensure financial accuracy Asks clarifying questions when numbers, assumptions, or documents don't align to prevent downstream issues Proficient in managing documents, versions, and project files in platforms like Procore, Salesforce and other internal systems Skilled in creating and documenting workflow processes, and managing multiple documentation streams at once while upholding accuracy and deadlines Resourceful, adaptable and results oriented with a positive attitude and the ability to contribute to a team environment Specialized Skills (Required): Strong accuracy in updating cost, pricing, and project details through billing High proficiency in Microsoft Excel, Word, and Outlook. Intermediate skills in Microsoft Excel skills, managing and creating multiple reports Experience working in a CRM system (e.g., Salesforce) to update and maintain accurate customer or project records Ability to navigate and reconcile information across multiple internal systems Experience maintaining organized, audit‑ready documentation (contracts, approvals, updates) Strong attention to detail when compiling quotes, validating information, and entering data Experience compiling quotes or pricing summaries from multiple data sources Specialized Skills (Desired): Experience using Procore or similar project management/document control platforms Ability to create or refine workflow documentation or templates
