Job Description
Position Summary The Construction Bid Coordinator supports the Estimating Department by assisting in the preparation, coordination, and submission of competitive bids and proposals. This role plays a critical part in ensuring all bid documents are accurate, complete, and submitted on time. The Bid Coordinator works closely with Estimators, Project Managers, subcontractors, and vendors throughout the bidding process. Key Responsibilities Assist Estimators in preparing bid packages, proposals, and supporting documentation Coordinate and track bid invitations, deadlines, and project requirements Solicit and follow up with subcontractors and suppliers for pricing and scope coverage Maintain and update bid logs, vendor lists, and subcontractor databases Review bid documents (plans, specs, addenda) for completeness and distribute to relevant parties Ensure all required forms, certifications, and prequalification documents are completed accurately Support the assembly and submission of bids (electronic and hard copy) Communicate with internal teams to ensure alignment on scope, pricing, and deadlines Track and distribute addenda and ensure all updates are incorporated into final bids Assist with post-bid activities, including document organization and turnover to project teams Qualifications 1-3 years of experience in construction, estimating, or administrative support role Strong organizational and time management skills Ability to manage multiple deadlines in a fast-paced environment Excellent written and verbal communication skills Proficiency in Microsoft Office (Excel, Word, Outlook) Experience with construction management or estimating software is a plus Experience with BidMail software, Excel, Word, Outlook, Bluebeam and Public Works bidding
