Job Summary:
The Contract Administrator supports the contract lifecycle by preparing, tracking, and organizing purchase and sales contracts. This entry-level role is responsible for assisting in contract creation, recordkeeping, communication with internal teams, and ensuring timely and accurate documentation. This position works closely with and at the direction of the Senior Contracts Manager and reports to the General Counsel of Kolmar Americas, Inc.
Duties and Responsibilities:
Enter transaction details into the Transaction Lifecycle Management system; ensure data accuracy by coordinating with internal teams. Generate and format standard contracts using templates and system tools; support in reviewing and editing basic contract terms. Coordinate with internal departments (e.g., trading, legal, operations, risk, and accounting) to ensure contract accuracy and completeness. Track inbound and outbound contracts; follow up on missing documents or approvals. Assist with contract correspondence, spot confirmations, and other documentation. Flag discrepancies in contracts and escalate to senior staff or legal team for review. Maintain organized digital and physical records of all contracts. Help prepare basic reports and summaries for contract tracking and compliance. Support the implementation of the company's Business Records Management Policy. Assist with contract process improvement initiatives and departmental projects as assigned.
Required Skills and Abilities:
Strong organizational and time management skills. Clear and professional verbal and written communication. Basic understanding of business documentation or willingness to learn. Proficiency in Microsoft Office (especially Word and Excel). High attention to detail and accuracy. Ability to handle confidential information responsibly. Willingness to collaborate across teams and learn internal systems.
Education and Experience:
Bachelor's degree in business, legal studies, or a related field preferred (or equivalent experience). 0-2 years of relevant work experience (internships or administrative roles a plus). Familiarity with contract systems, ERP software, or document management tools is helpful but not required.
Physical Requirements:
Prolonged periods sitting/standing at a desk and working on a computer. Must be able to lift 15 pounds at a time.
