Job Overview We are seeking a proactive and detail-oriented Contract & Payroll Administrator to join our dynamic team. We are open to either a parttime or fulltime employee. In this vital role, you will oversee the administration of contracts and payroll processes, ensuring compliance with legal standards and organizational policies. Your expertise will support seamless vendor management, contract processing, and document management, contributing to the overall efficiency and integrity of our operations. Responsibilities The Contract & Payroll Administrator at Geissler Roofing Co., Inc. is a dual-focus role essential to our operational flow and financial integrity. This position serves as a critical bridge between our field operations, financial department, and external partners. You will be responsible for the meticulous management of project contracts, ensuring all corporate insurance and bonding requirements are met, and providing vital support to the payroll process. The ideal candidate is highly organized, possesses a keen eye for legal and financial detail, and thrives in a fast-paced construction environment where accuracy is paramount.
Contract & Document Management Contract Review:
Thoroughly review incoming prime contracts and subcontracts to identify key terms, risk factors, and compliance requirements.
Document Control:
Manage the execution, filing, and tracking of all contract documents, change orders, and project close-out paperwork.
Bid Preparation:
Assist the estimating and executive teams in the preparation, assembly, and timely submission of formal bid packages.
AP/AR:
Follow through with Projects or tasked assigned
Lien Waivers:
Collecting and tracking lien waivers from subcontractors and vendors to protect the company from legal liability. •
Project Closeouts:
Geissler and Manufacture warranties to hand over to the client at the end of a job.
Insurance & Bonding Corporate Insurance:
Maintain up-to-date corporate insurance records and serve as the primary point of contact for insurance audits.
COI Administration:
Process and track Certificates of Insurance (COIs) for both the company and its subcontractors, ensuring all limits meet project-specific requirements.
Bonding Liaison:
Coordinate with our bonding company to secure bid, performance, and payment bonds; manage the company's bonding capacity reporting.
Payroll Support Payroll :
Payroll Administrator with the weekly processing of employee timecards, ensuring accuracy in trade classifications and prevailing wage rates.
Compliance:
Help maintain payroll records in accordance with federal and state regulations, including certified payroll reporting where applicable.
Certified Payroll:
If the company works on government or "prevailing wage" jobs, you will manage the complex reporting required by the Department of Labor. General Administration Perform other administrative or operational tasks as delegated by management to support the growth and efficiency of Geissler Roofing Co., Inc. Input reoccurring renewals, inspections, follow ups into basecamp
Calander Permit Coordination:
Assist Filing for building permits and coordinating with local municipalities to ensure all licenses are current.
Insurance Tracking:
Verifying that all subcontractors have active Workers' Comp and General Liability insurance before they step on-site.
Fleet Management:
Assist Keeping track of vehicle registrations, maintenance schedules, and DOT compliance for company trucks. Bank and Credit Card reconciliation
Job Requirements Experience:
Minimum of 3-5 years in contract administration, payroll, or a legal/administrative role, preferably within the construction or roofing industry.
Technical Skills:
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with construction accounting software (Sage 100). Attention to
Detail:
Exceptional ability to spot errors in complex legal documents and financial spreadsheets.
Knowledge:
Familiarity with AIA documents, construction insurance terminology (GL, Workers Comp, Excess), and the bonding process.
Communication:
Strong professional writing skills and the ability to communicate effectively with insurance brokers, bonding agents, and project managers.
Education:
High School Diploma required; Associate's or Bachelor's degree in Business Administration, Accounting, or a related field is preferred.
