This role is responsible for assisting with the preparation, review, organization, and administration of contracts and legal documents while ensuring compliance with internal processes and regulatory requirements. The ideal candidate will be highly organized, detail-oriented, and comfortable working in a fast-paced environment.
Key Responsibilities:
Assist with drafting, reviewing, and formatting routine contracts and legal documents, including non-disclosure agreements, vendor contracts, amendments, and other standard agreements. Support the full contract lifecycle, including intake, routing, tracking, execution, and document management. Monitor contract deadlines, deliverables, and renewal dates, escalating issues when appropriate. Conduct initial reviews of agreements to identify missing information, inconsistencies, and approval requirements. Coordinate with internal stakeholders to gather information needed for contract preparation and compliance documentation. Maintain contract management systems, ensuring accurate records, version control, and document organization. Prepare reports related to contract status, outstanding items, and compliance tracking. Assist in developing and maintaining contract management procedures, templates, and best practices. Support regulatory filings, business license renewals, and submissions to government agencies and regulatory bodies. Track regulatory correspondence, approvals, and renewal deadlines. Provide administrative support to the Legal and Contracts function, including scheduling, document preparation, and file management. Assist with training materials and process documentation related to contract administration and compliance. Support insurance certificate requests and maintain records related to contractual insurance obligations.
Qualifications:
Bachelor's degree in Business, Legal Studies, Paralegal Studies, or a related field preferred. 2-5 years of experience in contract administration, legal operations, paralegal work, or a related field. Working knowledge of contract terminology and legal concepts. Strong attention to detail and ability to manage multiple priorities simultaneously. Excellent written and verbal communication skills. Proficiency with Microsoft Office and contract management software. Highly organized, process-driven, and capable of meeting deadlines in a dynamic environment.
