Job Description
Job Overview We are seeking a dynamic and highly organized Program Support Specialist to join our team! This vital role offers an exciting opportunity to assist with program coordination, administrative tasks, and client support, ensuring seamless operations across various offices. As a Program Support Specialist, you will be the backbone of our program execution, providing vital support that helps us achieve our mission efficiently and effectively. This paid position is perfect for someone eager to grow their administrative expertise in a fast-paced environment. Responsibilities Program Support Specialist will work across selected NRCS Resource Units servicing multiple field offices and SWCD's. Will be responsible for annual contract correspondence for practice reminder letters, contract reviews, and letter of application status to all program applicants in service area. Maintain all annual contract reviews for all those contracts that are on schedule and begin contract reviews for those that are behind schedule or out of compliance. Process contract modifications, payments, and regularly monitor and review various contract management reports (contracts expiring, prior year practices not implemented). Enter application and contract data into agency-specific software programs and prepare software generated reports. Provide program specific information to applicants and participants that is necessary for conservation program participation. Analyze problems with application compliance eligibility and take remedial actions for resolution. Manage application and contract administration letters and documents related to application status, status reviews, contract implementation, contract modifications, and potential cancellations or terminations. Maintain contract documents in case files according to agency policy. Manage assigned administrative duties for obligated conservation contracts and contract reviews. Provide administrative assistance on contract modifications, as developed by the field office technical staff, within the agency-specific software. Verify documentation required to process NRCS certified conservation payments. Provide programmatic quality assurance assuring each document is complete per agency policy and guidelines. Process payment applications, as assigned, within the agency specific software. Assist with all other duties as assigned related to financial and programmatic activities. Qualifications Proven experience in office management or administrative support roles with clerical experience preferred Strong computer literacy including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and basic data entry skills Familiarity with QuickBooks or other bookkeeping software is highly desirable Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment Exceptional phone etiquette and customer service skills to handle inquiries professionally across multi-line phone systems Demonstrated attention to detail with proofreading and data accuracy capabilities Personal assistant or office experience that includes calendar management, filing, and administrative support is advantageous Strong time management skills combined with the ability to multitask efficiently while maintaining a positive attitude Join us as a Program Support Specialist and become an essential part of a dedicated team committed to making a difference!
