Description The Contracts Administrator is responsible for supporting the full contract lifecycle, from review and negotiation through execution. This role also manages insurance documentation, including certificates of insurance, to ensure contractual risk is mitigated and compliance requirements are met. The ideal candidate is detail‑oriented, organized, and comfortable coordinating with internal teams, vendors, and insurance providers. The Contracts Administrator will be a member of a small, team-oriented legal department. Responsibilities Contract Administration Support contract lifecycle management, including coordinating and tracking reviews and negotiations. Prepare and administer contracts through execution, including agreements with owners, subcontractors, consultants and vendors, NDAs, and amendments. Coordinate contract execution by obtaining required approvals and signatures. Maintain organized and up‑to‑date contract repository files and databases. Maintain standard contract templates. Help ensure adherence to internal contracting policies and procedures. Support the department by receiving, handling and responding to questions and inquiries from project teams. Assist with audits, compliance reviews, and reporting as needed. Insurance & Risk Support Request, review, and track vendor certificates of insurance (COIs) to ensure contractual insurance requirements are met. Work with insurance broker to verify coverage types, limits, endorsements, and expiration dates. Follow up with vendors, subcontractors, and insurance brokers to resolve discrepancies or missing documentation. Maintain insurance tracking logs and documentation systems. Support pre-qualification of new vendors by ensuring contract and insurance compliance. Assist with process improvements related to contract management and insurance tracking. Maintain Legal SharePoint site by posting legal and risk management related resources, references and announcements. About You Associate's or Bachelor's degree in Business Administration, Legal Studies, Finance, or a related field (or equivalent experience). 3-5 years of experience in contract administration, legal operations, or related roles. Clear written and verbal communication. Strong attention to detail and organizational skills. Ability to manage multiple priorities and deadlines. Proficiency with Microsoft Office (Word, Excel, Outlook). Familiarity with AI tools. Confidentiality and professionalism. Preferred Experience in construction or professional services. Paralegal experience or certificate a plus. Experience reviewing and tracking certificates of insurance or familiarity with insurance (general liability, workers' compensation, professional liability).
