Job Overview Summary/General Description of Job:
The Construction Contract Administrator provides administrative and coordination assistance in the preparation and execution of all construction projects. The projects managed will be simultaneous requiring strong multi-tasking, monitoring, and tracking skills. The incumbent will also serve as the point of contact for project outages, meetings, and other coordination tasks related to the SATOC operation.

$41.52/ hour
Responsibilities Essential Job Duties:
Receives, performs file setup and tracks requests for proposal (RFPs), modifications, notices to proceed (NTP) and delivery orders (DO) through receipt, approval and submittal. Set up and maintain filing systems as required to support SATOC activities. Distributes notifications to all principals throughout the life of a project such as project awards, meetings, outages, etc. Coordinates pre-bid walk through with all principals. Coordinates visitors for security, access and approval. Schedules and confirms meetings/appointments. Maintain scheduling and event calendars. Reviews, submits, tracks and distributes requests for information (RFls). Reviews proposal packages and other related construction documents for accuracy and content and records data as appropriate. Develops cover letters, submittal transmissions, and proposal packages to include facilitating submittals to customer. Facilitates weekly collection and distribution of subcontract schedules. Assembles final closeout project folder for submittal to document control/technical library. Electronically archives construction and contract documents to SATOC operating system. Assists management team to identify, track, and compile data for key performance indicators. Works closely with all SATOC team members in preparing trending and reporting tools to assist in procedure improvement as directed by Manager. Actively maintains the project and outage tracking logs with weekly and daily updates. Analyzes data for trending effects on project estimating, executing, and closing efforts. Through the construction tracking logs, identifies project deadline concerns and, in conjunction with superintendent, helps to facilitate project extension/modification requests. Coordinates and attends meetings (i.e. outage, COR, pre-bids, kickoffs, QC, final walk outs) to Include generating agendas, documenting attendance, recording meeting minutes, distributing communication, and submitting to document control. Prepares and finalizes a variety of reports to support and meet government reporting requirements. Prepares the job setup package, including contract documents and budget spreadsheet, and submits to Finance. Job Requirements Mandatory Associate Degree and five (5) years of administrative experience or eight (8} years of administrative experience. Eight (8) years of computer experience; including advanced proficiency using Microsoft Office. May be required to demonstrate such proficiency by skill exam. Must be able to establish, cultivate and maintain positive relationships and communications with sub contractors, project principals, customers, and other contract departments and employees. Professional verbal and written communication skills. May be required to demonstrate writing proficiency by a writing assessment. Ability to multi-task and work in a close-knit team environment. Mature judgment and ability to work with minimal supervision. Ability to pass an administrative skills test. Ability to pass pre-hire background and drug screen. U.S. Citizenship. Ability to obtain and maintain the required intelligence community level clearance. Valid state driver's license. Preferred Knowledge and use of Microsoft Project. College coursework or college degree, preferably in related field. Previous construction and/or maintenance environment experience. Ability to read blueprints, drawings or schematics Previous experience in a government contracting environment.
