We're looking for a Contracts & Sales Administrator who thrives in a fast-paced environment where accuracy matters, details can't be missed, and every completed agreement directly supports business growth. This is not a back-office data entry role. You'll serve as a critical partner to our sales and delivery teams, helping move opportunities from signed agreement to successful execution while ensuring clients receive a professional, seamless experience throughout the process. You'll work across multiple business lines, supporting a variety of services, clients, and projects. What You'll Do As a Contracts & Sales Administrator, you'll be responsible for managing the administrative processes that support our sales, operations, and client onboarding activities.
Responsibilities include:
Contract & Proposal Administration Prepare, review, coordinate, and distribute contracts, Statements of Work (SOWs), amendments, addendums, and related client documentation Assist with proposal creation and formatting Track contract status and ensure timely execution Maintain organized contract and project documentation Client Onboarding & Setup Coordinate new client onboarding activities Complete vendor registration and vendor setup questionnaires Gather and verify required client documentation Confirm billing contacts, invoicing instructions, payment requirements, and purchasing processes Ensure all required information is collected before projects begin Project & System Administration Set up client accounts, projects, and opportunities within company systems Maintain accurate records and documentation Ensure data integrity across platforms and business units Support reporting and administrative tracking as needed Billing & Collections Support Confirm invoicing requirements and client billing processes Coordinate with finance and operations teams to ensure accurate invoicing Assist with collections efforts and follow-up on outstanding balances Support resolution of billing discrepancies Client & Internal Support Serve as a professional point of contact for clients when administrative support is needed Partner closely with sales, operations, finance, and leadership teams Provide general administrative support to help keep projects moving efficiently What Success Looks Like Contracts are accurate and executed quickly New clients are onboarded smoothly Projects are set up correctly the first time Billing information is complete and verified before work begins Collections issues are addressed proactively Sales teams spend more time selling and less time managing administrative tasks Clients experience a professional, organized, and responsive partnership What We're Looking For 3+ years of experience in contract administration, sales administration, operations support, project coordination, or a related role Exceptional attention to detail and organizational skills Strong written and verbal communication abilities Ability to manage multiple priorities and deadlines simultaneously Comfortable interacting with clients and internal stakeholders Strong problem-solving skills and a proactive mindset Experience working with contracts, proposals, invoicing, or project administration preferred Proficiency with CRM, ERP, or business management systems preferred Advanced Microsoft Office skills, particularly Word, Excel, and Outlook The Ideal Candidate You are the person who catches the details others miss.
