Job Summary:
The Proposal Specialist is responsible for coordinating, developing, and delivering high-quality proposals, bids, RFP responses, and related business development materials. This role requires exceptional writing, editing, and project management skills to ensure proposals are accurate, compelling, compliant, and submitted on time. The Proposal Specialist collaborates with internal teams, subject matter experts, and leadership to present solutions that align with client requirements and company capabilities.

Duties/Responsibilities:
Manage the end-to-end proposal process, including RFP review, content development, formatting, and submission. Interpret client requirements and ensure proposal responses meet compliance, technical, and formatting standards. Develop persuasive content that clearly communicates the company's value proposition, differentiators, and solutions. Work closely with sales, operations, finance, legal, and technical subject matter experts to gather input for proposals. Maintain and update a content library of standard proposal materials, templates, and boilerplate language. Track proposal deadlines, deliverables, and progress to ensure timely completion. Edit and proofread all proposal materials for grammar, consistency, tone, and compliance. Support post-submission activities such as clarifications, revisions, and presentations. Analyze proposal outcomes to improve future submissions and win rates. Ensure branding, style, and messaging consistency across all proposal materials.

Education and Experience:
Bachelor's degree in Communications, Business, Marketing, English, or related field (or equivalent work experience). 2+ years of experience in proposal writing, business development support, or similar role. Strong writing, editing, and proofreading skills with attention to detail. Excellent organizational and time-management abilities with the capacity to manage multiple deadlines. Familiarity with RFP/RFQ processes and proposal best practices. Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel); knowledge of Adobe InDesign or proposal management software is a plus. Ability to work both independently and collaboratively in a fast-paced environment.
Physical Requirements:
Prolonged periods of sitting at a desk and working on a computer. Must be able to lift 15 pounds at times. Must be able to access and navigate each department at the organization's facilities and all field locations.
