Job Description
- Serve as the primary point of contact for client inquiries, ensuring timely, professional communication and follow-through to maintain high satisfaction levels.
- Develop a strong understanding of contract scope and ensure all services, work orders, and billing activities are conducted in accordance with contractual terms.
- Support account governance through financial reporting, including WIP, A/R, A/P, open POs, invoice pools, budgets, and margin calculations.
- Manage customer billing activities by reviewing invoices, ensuring accurate cost center coding, raising invoices, and submitting them to clients in line with company and client requirements.
- Act as a financial and operational systems champion, supporting CMMS and web-based quote systems by maintaining accurate job data and statuses.
- Coordinate vendor onboarding and manage subcontractor documentation for both reactive and planned maintenance activities.
- Review, approve, and process maintenance and project billing in accordance with contracted agreements, purchase orders, and quotations.
- Monitor Helpdesk activity, log service requests, and coordinate timely resolution with internal teams and external vendors.
- Prepare internal and client-facing reports, support monthly business reviews, attend meetings, and document action items and minutes.
- Ensure compliance with Health, Safety, and Environmental (HSE) standards by maintaining QHSE documentation and promoting a safe work environment.
- Gather and analyze operational and financial data to identify issues, recommend solutions, and drive continuous improvement and cost-saving initiatives.
- Suggest and support process improvements that enhance efficiency, accuracy, and service delivery across the account and broader team. What You'll Need
- Authorization to work in the United States without current or future visa sponsorship.
- High School Diploma or GED required; Associate's degree in Accounting, Finance, or a related field preferred.
- 3-4 years of experience in contract support, administrative, financial, or operational roles.
- Strong understanding of financial processes, including invoicing, purchase orders, cost tracking, and margin calculations.
- Proficiency in Microsoft Office applications, particularly Excel, Word, and Outlook.
- Excellent written and verbal communication skills with the ability to convey complex information clearly and concisely.
- Strong organizational skills, attention to detail, and the ability to manage multiple priorities independently.
- Analytical mindset with the ability to evaluate data, solve problems, and recommend improvements.
- Advanced math skills, including calculating percentages, markups, and discounts.
