This role is responsible for sourcing opportunities through industry partners, clients, teaming relationships, and market research while helping position Bio Logical for strategic growth within the environmental and construction services industries. Working closely with the Operations Manager, Principal Scientist, Project Managers, and other stakeholders, the Bidding Specialist develops well-defined, competitive, and accurately scoped proposals that align with Bio Logical's technical expertise, operational capacity, and business objectives. The Bidding Specialist oversees proposal strategy, bid development, pricing coordination, and internal review processes to ensure high-quality, compliant submissions. This position works in partnership with the Bid Coordinator, who supports the preparation, organization, and submission of bid packages and proposals. While the Bid Coordinator focuses on monitoring bid portals, tracking incoming opportunities, maintaining documentation, and coordinating administrative components of submissions, the Bidding Specialist focuses on opportunity development, strategic partnerships, proposal leadership, and overall bid management. The Bidding Specialist also helps standardize proposal workflows, timelines, and QA/QC procedures to improve efficiency, consistency, and submission quality across all pursuits. This role requires exceptional organization, strong written communication skills, attention to detail, and a strategic, business-minded approach to proposal management that supports sustainable company growth. Key Responsibilities Coordinate and support the preparation, organization, and submission of bid packages and proposals by the Bid Coordinator Track bid opportunities, deadlines, and submission requirements across multiple projects and clients Assist with go/no-go tracking, proposal scheduling, and internal coordination meetings Maintain proposal calendars, bid logs, and opportunity tracking systems Coordinate with Project Managers, technical staff, subcontractors, and vendors to gather proposal information and pricing inputs Review bid requirements to ensure submissions are complete and compliant with client specifications Support QA/QC reviews to help ensure accuracy, formatting consistency, and completeness of proposals Maintain and update client portal registrations, prequalification systems, and contractor databases Assist with proposal formatting, editing, and final production of submission packages Help maintain standardized proposal templates, processes, and filing systems Coordinate submission confirmations and maintain records of submitted bids and Support seamless handoff of awarded projects to Contracting and Project Management Qualifications Strong organizational and time management skills with the ability to prioritize multiple deadlines Excellent written and verbal communication skills High attention to detail and accuracy Proficiency in Microsoft Office Suite (including Word, Excel, Outlook, Teams), CRMs Ability to work collaboratively across departments and manage competing priorities Experience with proposal coordination, construction/environmental services bidding, estimating support, or project administration preferred Familiarity with public agency procurement processes and online bidding portals is a plus Ability to work independently while maintaining strong communication with internal teams Preferred Experience 3+years of experience in proposal coordination, bidding support or project coordination Experience in environmental consulting, construction, engineering, or related industries preferred What We're Looking For Highly organized and process-driven Strong attention to detail and follow-through Ability to manage fast-paced deadlines with professionalism and accuracy Positive, team-oriented mindset Strong problem-solving and communication skills Motivated to expand skills and grow within the organization
