is a service-disabled veteran-owned small business general contractor supporting federal construction, renovation, maintenance, and infrastructure projects, with a strong focus on U.S. Department of Veterans Affairs medical facilities. We manage complex projects in active healthcare and federal environments, where communication, documentation, responsiveness, cost awareness, and attention to detail are critical to successful performance. We are seeking a full-time Construction Contract Administrator to support our federal construction and maintenance contracts. This is an excellent opportunity for someone with prior construction administration experience who is organized, detail-oriented, professional with customers and subcontractors, and comfortable managing documentation, cost backup, and administrative workflows across multiple active projects. Position Summary The Construction Contract Administrator will support AEONRG's project and contract administration functions, including customer communications, meeting coordination, RFIs, submittals, change-order documentation, project correspondence, contract budgets, and related administrative tasks. The role will involve regular communication with federal customers, subcontractors, project managers, superintendents, and internal leadership. The position requires an initial one-month in-person training period in Downingtown, Pennsylvania . After training, the role will be primarily remote, with optional in-person meetings or work sessions approximately one to two times per month in the Philadelphia metro area. Key Responsibilities The Construction Contract Administrator will be responsible for supporting contract and project administration across federal construction and maintenance projects, including: Communicating professionally with federal customers, subcontractors, vendors, and internal team members regarding active and upcoming projects. Attending project meetings, preparing meeting notes, tracking action items, and following up with responsible parties. Processing, organizing, and tracking RFIs, submittals, correspondence, meeting minutes, project documentation, and other contract records. Supporting change-order administration, including tracking potential changes, compiling subcontractor pricing, organizing cost backup, reviewing documentation for completeness, and assisting with customer-facing change-order submissions. Assisting with contract budget tracking, including maintaining change-order logs, tracking pending and approved modifications, organizing cost documentation, and helping ensure project financial records remain current and accurate. Using Microsoft Excel to maintain project logs, budget trackers, change-order summaries, subcontractor pricing comparisons, and other contract administration tools. Coordinating with project managers, subcontractors, and leadership to gather pricing, scope narratives, backup documentation, and supporting materials for RFIs, modifications, and change-order proposals. Maintaining organized electronic project files and ensuring documentation is complete, accurate, and timely. Assisting with schedules, deliverable logs, procurement records, closeout documentation, and other project administration requirements. Supporting compliance with federal contract requirements, customer documentation standards, and internal AEONRG processes. Using Procore, Microsoft Office, email, and PDF tools to prepare and manage project documents. Working closely with project managers, superintendents, subcontractors, and leadership to keep projects administratively organized and moving forward. Required Qualifications At least two years of work experience with a general contractor, specialty contractor, construction manager, or similar construction-related business in an administrative, project coordination, contract administration, or project support role. Strong written and verbal communication skills. High attention to detail and ability to manage multiple deadlines, documents, and follow-up items at the same time. Proficiency with Microsoft Office, especially Outlook, Word, Excel, and Teams. Working knowledge of Excel sufficient to maintain logs, organize cost information, track budgets, and prepare clear summaries of project or change-order information. Ability to work with basic construction financial information, including subcontractor quotes, change-order pricing, contract values, budget logs, and supporting cost documentation. Ability to work independently in a primarily remote environment after training. Professional judgment and ability to communicate with customers, subcontractors, and internal team members in a polished and reliable manner. Ability to attend the initial one-month in-person training period in Downingtown, Pennsylvania. Preferred Qualifications Strongly prefer prior experience with Procore software. Prior experience with federal government construction, VA medical center projects, public-sector contracting, or prevailing-wage/Davis-Bacon environments. Ability to attend occasional optional in-person meetings or work sessions in the Philadelphia metro area, approximately one to two times per month. Familiarity with RFIs, submittals, change orders, meeting minutes, construction correspondence, closeout documents, and subcontractor coordination. Experience supporting change-order pricing packages, budget tracking, subcontractor quote collection, or cost documentation for construction projects. Experience supporting projects in healthcare, institutional, infrastructure, electrical, mechanical, or facilities-maintenance environments. Familiarity with federal contract documentation, specifications, schedules, and customer-facing deliverables. Compensation The expected base salary range for this position is $60,000 to $75,000 per year , depending on experience, qualifications, Procore proficiency, Excel capability, federal construction experience, and familiarity with change-order administration. This position is expected to be classified as non-exempt or salaried non-exempt , unless otherwise determined following legal review. Eligible overtime will be paid in accordance with applicable federal and Pennsylvania wage-and-hour requirements.
