ROLE SUMMARY
The Proposal Specialist supports the firm's business development efforts by crafting compelling, high-quality proposals and presentations that tell the firm's story. This role blends writing, coordination, and design skills and offers the opportunity to work closely with leadership and technical experts on high visibility pursuits.DUTIES AND RESPONSIBILITIES
Collaborates closely with the Proposal Team Leader to develop high quality proposals, letters of interest (LOIs), and statements of qualifications (SOQs), working with technical and senior staff to draft, edit, format, and finalize content. Creates and produces client interview and pursuit-related presentations, ensuring messaging, visuals, and formatting align with firm standards and pursuit strategies. Writes, edits, tailors, and researches non-technical proposal sections, ensuring compliance with solicitation requirements and firm messaging. Proactively identifies risks, gaps, or compliance issues within proposal content; communicates concerns and recommends solutions to proposal leadership. Manages assigned proposal components independently, including schedules, workflows, and deliverables, to ensure timely and compliant submissions. Gathers, maintains, and updates marketing and pursuit content such as staff resumes, project descriptions, project statistics, research briefs, and other marketing materials. Researches, solicits, and coordinates information from external partners, subconsultants, and internal contributors for inclusion in proposal and presentation materials. Independently coordinates with graphic designers, editors, production staff, and reprographics vendors to support proposal execution and production. Maintains and updates content within marketing and CRM databases to support proposals, presentations, and business development efforts. Supports additional marketing and business development initiatives as needed. Participates in proactive team efforts to achieve departmental and company goals. Customer/client focusMINIMUM REQUIREMENTS
Bachelor's degree from four-year college or university with concentration in Marketing, Communications, Journalism, English, or other related field. Minimum two years' related experience in communications or marketing with direct architectural, engineering or construction (AEC) industry preferred. Highly proficient in Adobe InDesign, Photoshop, and Acrobat. Advanced experience with Microsoft Word, Excel, PowerPoint, and Outlook. Experience with Prezi preferred but not required. Experience managing and editing content within databases; familiarity with CRM platforms. Unanet (Cosential) preferred. Ability to develop written and oral communications that clearly explain technical concepts, using easy to understand language and graphics. Ability to manage time and resources to produce and deliver project assignments under strict deadlines.English language skills:
ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write content, copy, reports, and correspondence. Ability to effectively present information and respond to questions from groups of managers, employees, clients, and the public.Mathematical skills:
ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals; ability to compute rate, ratio, and percent and to draw and interpret graphs.Reasoning skills:
ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations. Proficient personal computer skills including electronic mail, record keeping, routine database activity, word processing, spreadsheet, graphics, etc. Knowledge of Adobe Creative Cloud and Microsoft Excel, PowerPoint, Word, and Outlook preferred.Organizational skills:
ability to prioritize and organize tasks; ability to handle multiple tasks simultaneously; ability to handle multiple projects simultaneously. Remote connectivity device (e.g., smart phone, tablet, etc.) with data plan sufficient for company requirements, including multi-factor authentication, time and mileage tracking, expense reimbursement, e-mail, and virtual communications.PHYSICAL REQUIREMENTS
Sedentary physical activity performing non-strenuous daily activities of an administrative nature. Manual dexterity sufficient to reach/handle items, work with the fingers, and perceive attributes of objects and materials. Ability to sit up to eight hours per day. Ability to manipulate computer mouse up to eight hours per day. Ability to see clearly 20 inches or less and 20 feet or more; ability to identify and distinguish colors; ability to adjust focus.WORK ENVIRONMENT
Well-lighted, heated and/or air-conditioned indoor office setting with adequate ventilation. Moderate noise; occasionally loud. Shared office space with multiple people.WORK SCHEDULE
Fixed schedule of 40 hours per week, Monday through Friday, including required core hours. Occasional overtime may be required.
