Job Description

Job Summary We are seeking a dynamic and detail-oriented Bid Coordinator to join our team and drive the success of our proposal and contract processes. In this pivotal role, you will coordinate bid activities, manage documentation, and ensure compliance with legal and contractual standards. Your expertise will help secure new business opportunities by preparing compelling proposals, managing vendor relationships, and supporting strategic business development initiatives. This position offers an exciting opportunity to contribute to our growth while honing your skills in procurement, contract management, and negotiation within a fast-paced environment. Duties Lead the preparation and submission of bids, proposals, and tenders by coordinating cross-functional teams and gathering required documentation. Manage vendor relationships through effective communication, vendor management practices, and ensuring compliance with procurement policies. Review contracts, legal documents, and proposals for accuracy, completeness, and adherence to company standards using legal drafting and document review techniques. Maintain meticulous records of all bid activities, contract documents, amendments, and correspondence utilizing document management systems such as Salesforce or ERP platforms like PeopleSoft. Support negotiation processes with vendors and clients to secure favorable terms while ensuring compliance with Federal Acquisition Regulations (FAR), UCC law (Uniform Commercial Code), and other applicable legal standards. Collaborate with legal teams to ensure contracts align with intellectual property law, UCC law, and other regulatory requirements. Assist in strategic planning for business development efforts by researching market trends, preparing proposal writing materials, and supporting pricing strategies using technical writing skills. Requirements Proven experience in procurement, vendor management, or contract administration within a corporate or government setting. Strong understanding of contract management principles including contract negotiation, document review, and change management processes. Familiarity with legal frameworks such as Federal Acquisition Regulations (FAR), UCC law, and intellectual property law. Proficiency in using document management tools like Salesforce, DocuSign, ERP systems such as PeopleSoft or similar platforms for records management. Excellent negotiation skills combined with strategic planning abilities to support business growth initiatives. Ability to conduct research effectively and produce clear technical writing for proposals or contractual documents. Experience managing multiple projects simultaneously while maintaining attention to detail in a fast-paced environment. Knowledge of purchasing procedures, contractor management practices, and compliance standards necessary for federal or commercial contracts is highly desirable.
