ADMINISTRATIVE SPECIALIST
Location Dallas, TX 75215 | Onsite
COMPENSATION & SCHEDULE
$20/hour Full-time, Monday-Friday, 8:00 a.m.-5:00 p.m. W2 Employment
ROLE IMPACT
This role supports the organization's financial and travel operations by managing accounting and procurement activities, overseeing travel coordination, and ensuring accurate documentation and compliance with internal and external funding requirements. Success in this position is defined by strong attention to detail, accuracy in transaction processing, and the ability to provide dependable administrative support to internal departments and external vendors.
KEY RESPONSIBILITIES
Coordinate and arrange domestic and international travel, including flights, hotels, rental cars, and itineraries. Prepare and maintain travel records, approvals, and expense documentation in compliance with funding and grant requirements. Enter travel requests and reconcile expenses within the organization's financial system. Serve as the primary contact for travelers and vendors regarding travel logistics and issue resolution. Support procurement, accounts payable/receivable, and purchasing card transactions as assigned.
MINIMUM QUALIFICATIONS
Associate's Degree in Business Management or related field (required). 3 years of experience in travel coordination, purchasing, accounts payable, or administrative support. Proficiency with Microsoft Word and Excel. Strong written and verbal communication skills and ability to maintain professional relationships.

Microsoft Office Suite (Word, Excel, Outlook) Financial and procurement software systems Travel booking platforms (e.g., Concur, Egencia) Document management tools Expense reporting systems
PREFERRED SKILLS
Experience coordinating travel for large teams or government entities. Familiarity with grant or fund-based accounting. Strong organizational and multitasking skills under tight deadlines.
