Minimum $44,880, commensurate with experience Overview The Contract Agent I plays a vital role in ensuring the timely and accurate organizing, processing, reviewing, adjusting and approval of contracts through the university's document approval system. Serving alongside more senior Purchasing Agents, the Contract Agent I is responsible for ensuring the successful review and approval of all document approval tasks, which involve various objectives serving the university's mission, ranging from the procurement of goods and services to finalizing student internship agreements. The Contract Agent I will play an essential role in maintaining compliance, supporting the lifecycle of vendor and client contracts, and contributing to efficient and effective contract operations.Responsibilities Primary Responsibilities:
Independently examines, revises, approves and signs contracts falling within delegation of signature authority. Serve as the point of contact for questions pertaining to contracts and the university's document approval system. Respond to departmental questions and concerns relating to contracts and the document approval process. Interpret, apply, and advise on university, state, and federal policies governing contract approval. Provide training to relevant university employees to ensure they sufficiently understand their role(s) in the document approval process. Monitor pending contract tasks to identify outstanding requirements and subsequently work with requesting departments and compliance reviewers to fulfill them. Notify and remind requesting departments and compliance reviewers of outstanding requirements for document approval requests so that they can reconcile these matters. Ensure that contracts comply with university, state, and federal policies. Ensure that all contracts are fully executed (signed by all contract parties) and properly stored in the university's repository system. When required, consult with senior Purchasing Agents on more complex contracts to clarify any questions and address any knowledge gaps.Secondary Responsibilities:
Greet visitors to the Purchasing and Contracts Services Office appropriately and assist and direct them as needed. Assist in general tasks, including but not limited to answering the phone, appropriately directing callers, and monitoring the office email account. QualificationsMinimum Qualification:
Bachelor's degree in a related field; or an equivalent combination of education plus experience is required.Knowledge, Skills & Abilities:
Strong attention to detail and excellent organizational skills. Ability to manage multiple priorities and meet deadlines. Strong written and verbal communication skills. Proficiency with Microsoft Office (Word, Excel, Outlook) and document management systems. Ability to work with confidential information with discretion and professionalism. Familiarity with contract management software or e-signature tools is a plus.
