The ADD shares supervisory responsibility for Associate Directors with the Deputy Director and provides direct support in implementing program strategy, strengthening school partnerships, and ensuring operational excellence. The ADD plays a critical role in staff development, program fidelity, recruitment strategy, and quality assurance. The ADD may serve as Acting Deputy Director when the Deputy Director is unavailable and may serve as Acting Executive Director when both senior leaders are absent. Essential Duties & Responsibilities (Other duties may be assigned at the discretion of the Deputy Director or Executive Director.) Leadership & Supervision Share supervisory responsibility for Associate Directors with the Deputy Director, including coaching, performance evaluation, and professional development. Provide leadership, mentorship, and guidance to Associate Directors, Facilitators, Recruiters, and program staff to reinforce PIQE's mission, values, and performance expectations. Lead weekly program operations meetings with Associate Directors to review progress, troubleshoot challenges, and align on priorities. Support Associate Directors in supervising Facilitators, Coordinators, and Recruiters, including participating in weekly facilitator meetings and training sessions. Ensure adequate qualified staff are available to carry out program activities. Serve as Acting Deputy Director when the Deputy Director is unavailable. Serve as Acting Executive Director when both the Executive Director and Deputy Director are unavailable. Program Implementation & Quality Assurance Oversee consistent implementation of PIQE's program model, quality standards, and operational procedures across all school sites. Monitor enrollment trends, attendance, class observations, and graduation outcomes to ensure program fidelity. Analyze program trends, identify issues, and recommend solutions to the Deputy Director and Executive Director. Monitor program processes and procedures to ensure fidelity to quality assurance standards, including ensuring fund development data is collected and submitted in a timely manner. Remain up to date on all modifications to PIQE's program materials and ensure staff are informed and trained accordingly. School & District Partnership Management Maintain and cultivate strong school partnerships by engaging with principals, administrators, and district leaders to support program success. Meet with principals and school personnel, as needed, to confirm dates, times, space, and logistical details required for successful program implementation. Support Associate Directors in resolving school site challenges and maintaining strong partner satisfaction. Support Associate Directors in their work with host school staff, including leaders, principals, administrators, and operational teams. Program Scheduling & Calendar Development Collaborate with the Deputy Director and Executive Director in developing quarterly school calendars and program charts to assist Associate Directors in selecting host school sites, schedules, and communication plans. Support the development and execution of regional school calendars, program schedules, and site assignments. Recruitment Strategy & Program Expansion Assist the Deputy Director and Executive Director in implementing and evaluating recruitment strategies to increase the number of school partners receiving PIQE services. Support Associate Directors in cultivating and maintaining relationships with school, district, and community stakeholders to expand PIQE's reach. Operational Oversight & Reporting Supervise and manage the preparation, accuracy, and timely submission of weekly, quarterly, and annual program reports. Monitor operational processes to ensure compliance with quality assurance standards and fund development requirements. Maintain accurate payroll documentation for program staff under the Associate Directors' supervision. Approve Associate Director timecards after certification and ensure timely submission in accordance with organizational payroll procedures. Support the Deputy Director in monitoring regional program budgets and ensuring alignment with organizational goals. Strategic Support & Collaboration Serve as a key partner to the Deputy Director in advancing regional program strategy, operational improvements, and organizational alignment. Support the Executive Director and Deputy Director in implementing, monitoring, and advancing the region's programmatic vision and long term strategy. Collaborate with the Deputy Director and Executive Director in planning and organizing regional staff meetings, trainings, and professional development sessions. Collaborate with the External Relations Department to gather program stories, photos, parent testimonials, and educator testimonies for marketing and fundraising. External Relations & Representation Represent PIQE at community events, school functions, industry conferences, and public engagements, including frequent evening and weekend commitments. Strengthen PIQE's visibility and reputation through professional, mission aligned engagement with partners and stakeholders. Education & Experience Bachelor's Degree, Master's Degree preferred. Two to three years of related experience in program management and administration or equivalent combination of education and experience. Experience in teaching, supervision, marketing, and public relations preferred. Experience working with diverse cultural and socio economic communities. Special Skills Strong leadership and staff development skills. Bilingual English Spanish preferred. Strong analytic and problem solving ability. Knowledge of nonprofit business management. Excellent communication and relationship building skills. Work Environment Fast paced, multi site environment requiring flexibility and strong organizational skills. Evening and weekend work required to support program delivery and community events. Extensive and unplanned travel may be required. Must have reliable transportation and proof of insurance. Requires suitable internet access to perform job duties.
