We're seeking an experienced, driven, and people-focused Practice Manager to lead the daily operations of our growing medical spa. This role is ideal for a strong leader who thrives in a fast-paced environment, understands how to build high-performing teams, and is passionate about delivering an outstanding client experience while driving business performance. Position Overview As the Practice Manager, you will oversee the day-to-day operations of the medical spa, ensuring exceptional client service, operational efficiency, team performance, and revenue growth. You'll work closely with providers, leadership, and marketing to create a seamless patient experience while maintaining high standards across all areas of the business. This is a hands-on leadership role requiring strong operational management, team development, and business acumen. Key Responsibilities Operations & Practice Management Oversee all daily medical spa operations, ensuring smooth and efficient workflow Develop, implement, and maintain office policies, procedures, and operational systems Ensure compliance with healthcare regulations, safety standards, and company policies Manage scheduling, staffing coverage, inventory, and facility presentation Continuously identify opportunities to improve systems, workflows, and client experience Team Leadership & Staff Development Recruit, onboard, train, and supervise administrative and clinical staff Foster a positive, collaborative, and accountability-driven culture Conduct performance reviews, coaching, and ongoing staff development Lead by example with professionalism, positivity, and strong communication Support team morale, retention, and overall performance Client Experience Ensure an exceptional client journey from booking through post-treatment follow-up Address client questions, concerns, and escalations professionally and promptly Create systems that enhance patient satisfaction, retention, and loyalty Maintain a warm, welcoming, and elevated spa environment Financial & Business Performance Monitor and manage key performance indicators (KPIs), revenue goals, and budgets Partner with leadership and finance on billing, reporting, payroll, and expense management Identify opportunities to increase profitability and operational efficiency Support sales initiatives, membership growth, retail performance, and treatment bookings Marketing & Growth Support Collaborate with the marketing team to drive promotions, events, and provider visibility Support social media initiatives, reputation management, and community outreach Identify opportunities for business growth and client acquisition Build and maintain strong relationships with vendors and partners Qualifications 3-5+ years of management experience in a medical spa, aesthetics, plastic surgery, wellness, or healthcare setting Strong leadership, team-building, and people management skills Experience managing operations, budgets, KPIs, and revenue goals Excellent communication, organizational, and problem-solving abilities Passion for aesthetics, wellness, hospitality, and exceptional client care Ability to multitask and lead effectively in a fast-paced environment Proficiency with EMR systems, scheduling software, and Microsoft Office Bachelor's degree in Healthcare Administration, Business, Hospitality, or related field preferred What We Offer Competitive salary + performance-based bonus opportunities Paid time off and paid holidays Employee discounts on treatments and products Career growth and professional development opportunities Supportive, team-oriented culture in a growing aesthetic practice Why Join Urban Medical Spa?
