The Shelter Operations Manager oversees the day-to-day operations of the shelter to ensure all animals are cared for in a clean, enriching, and compassionate environment. This position supervises non-clinical shelter staff, including the Pet Care Specialists, Pet Care Coordinators, Trustees, and Volunteers, and works closely with the clinic staff to coordinate animal flow, intake, and transfers. The Shelter Manager is responsible for ensuring that every animal, every day, receives meaningful, positive interaction with a human, and that staff, trustees, and volunteers meet this standard. This role also leads customer service efforts, coordinates volunteers, and ensures operations align with the organization's mission and strategic goals. Key Responsibilities Include, but are not limited to:
- Maintain and distribute shelter staffing schedule.
- Supervise animal care, front desk, and adoption staff, providing leadership, training, scheduling, and support to ensure daily tasks are completed to standard.
- Ensure that every animal receives individual, meaningful interaction with a human every day through enrichment, walking, play, petting, or other appropriate engagement.
- Oversee daily care routines, enrichment plans, and shelter protocols to maintain high standards of cleanliness, safety, and humane treatment.
- Manage animal flow, including intake, holds, surrenders, and transfers, in coordination with the Clinic staff.
- Lead and support excellent customer service and adoption experience, including adoption practices.
- Coordinate communication with volunteers and the public to ensure consistent engagement and positive interactions.
- Monitor shelter supplies and facility needs, report supply or equipment issues to the Executive Director.
- Use Shelterluv to manage and monitor animal records and ensure information is accurate and up to date.
- Participate in daily rounds, meetings, and planning sessions with the Clinic Director and other shelter leadership.
- Serve as part of the shelter's Humane Euthanasia Team
- Work with Animal Control Officers from various Monroe County municipalities.
- Follow and enforce shelter safety protocols and procedures.
- Serve as a role model for MCFA core values: compassion, integrity, and collaboration.
- Assist with data collection and reporting related to shelter productivity and grant needs.
- Identify and recommend training needs and opportunities for shelter staff.

- Assist with recruiting, training, scheduling, and supervising volunteers.
- Manage team performance, providing coaching and feedback as needed.
- Foster a positive and inclusive work environment.
- Conduct regular staff meetings to communicate store goals and updates. Customer Service
- Deliver excellent customer service, addressing concerns and resolving issues promptly.
- Develop relationships with community supporters.
- Handle complaints and any challenging situations professionally.
Shelter & Operations Support Because MCFA is a small nonprofit animal shelter, all staff contribute to overall operations.
Responsibilities may include:
Assisting with customer service at the front desk. Supporting adoption counseling or visitor assistance. Helping with animal intake documentation or recordkeeping. Providing backup support to shelter or clinic teams during busy periods. Participating in events, fundraisers, or community outreach. Occasional weekends, evenings, and holiday work required based on operational needs. Requirements Professional Experience
- Minimum of 3 years of experience in shelter operations, animal welfare, or related team leadership roles.
- Strong supervisory, communication, and organizational skills.
- Demonstrated commitment to providing compassionate, humane care and meaningful daily human interaction for every animal.
- Familiarity with Shelterluv or similar animal shelter software.
- Fear Free certification or willingness to obtain preferred.
- Ability to work cooperatively with staff, volunteers, and the public.
- Ability to maintain a professional demeanor with staff, volunteers, trustees, and the public at all times.
