This role is responsible for managing daily scheduling operations, ensuring efficient technician routing, and supporting both field teams and customers. The Dispatch Coordinator plays a critical part in maintaining workflow efficiency, optimizing appointment scheduling, and ensuring clear communication across teams. Success in this position requires strong organizational skills, a proactive mindset, and the ability to multitask effectively in a fast-paced environment. Responsibilities Review daily work orders to ensure all jobs are accurately assigned to the appropriate technicians. Adjust and reschedule appointments as needed due to technician call-outs or availability changes. Generate and distribute daily ONT reports, including breakdowns of scheduled, completed, pending RA, and fallout jobs. Continuously review and optimize the schedule to maximize efficiency and productivity. Proactively contact customers to offer earlier appointment times when availability allows. Schedule all troubleshooting appointments during assigned shifts. Communicate and implement schedule-related process updates to the team. Manage technician availability by blocking time for meetings, PTO, events, and call-outs within scheduling systems (e.g., Layers). Monitor and manage the dispatch-related ticket queue, ensuring timely resolution of open items. Track technician activity using Geotab, ensuring on-time arrivals and providing customer updates when delays occur. Monitor internal support channels (TechTalk Support and Installation Support chats) and respond to dispatch-related needs, including customer communication and job support. Collaborate with field teams to assist with scheduling needs and adjustments. Update Jira tickets for remote activations, including modifying headers, adding labels, and attaching required photos to both Jira and associated work orders. Schedule appointments following clearance of OSP escalations. Create HUB tickets for out-of-stock equipment and coordinate scheduling once inventory is replenished. Qualifications High school diploma or GED equivalent; associate's degree or higher a plus. Prior experience in a dispatch, scheduling, or coordination role preferred. Experience with scheduling systems, ticketing platforms (e.g., Jira), and fleet tracking tools (e.g., Geotab) preferred. Strong organizational and time management skills with high attention to detail. Ability to multitask and adapt quickly in a fast-paced, high-volume environment. Excellent communication and customer service skills. Strong problem-solving ability and a proactive, solution-oriented mindset. Comfortable working across multiple platforms and tools simultaneously. Sense of urgency with the ability to prioritize effectively under pressure.
