Job Description
Job Summary We are seeking a dynamic and organized Administrative Assistant / Dispatcher & Billing Specialist to join our team. In this multifaceted role, you will be the backbone of our office operations, ensuring seamless communication, efficient dispatching, and accurate billing processes. Your proactive approach and excellent organizational skills will help keep our daily operations running smoothly while providing exceptional support to our team and clients. This position offers an exciting opportunity to contribute to a fast-paced environment where your attention to detail and customer service expertise will shine. Responsibilities Manage incoming calls using multi-line phone systems with professionalism and courtesy, providing excellent customer support and information. Coordinate dispatching of service requests or deliveries, ensuring timely scheduling and communication with field teams or customers. Handle billing procedures accurately using QuickBooks Online, including invoicing, data entry, and account reconciliation. Maintain organized filing systems for documents, contracts, and records, ensuring easy retrieval and compliance with company policies. Assist with front desk duties such as greeting visitors, managing mail distribution, and overseeing office supplies inventory. Support office management tasks including calendar management, appointment scheduling, and proofreading correspondence for clarity and accuracy. Provide bilingual support when necessary to assist diverse clients or team members effectively. Skills Proficiency in QuickBooks accounting software and Microsoft Office Suite (Word, Excel, Outlook). Strong organizational skills with the ability to multitask efficiently in a busy office environment. Excellent phone etiquette and experience managing multi-line phone systems. Bilingual abilities are preferred to enhance communication within diverse teams and client base. Demonstrated clerical experience including data entry, filing, proofreading, and document management. Knowledge of Google Workspace applications (Gmail, Calendar, Drive) for seamless collaboration. Effective time management skills to prioritize tasks and meet deadlines consistently. Previous office experience with administrative or personal assistant responsibilities is highly desirable.
